About the Role

You are the operational backbone for an executive running the key music department (A&R) across Central Europe and a wider EMEA remit. The job spans professional and personal support. Your main task is that nothing falls through the cracks and the SVP's time goes where it matters most. It's a high-trust, high-discretion position with visibility into artist, deal and leadership conversations.

Responsibilities

  • Own and defend the diary across CET and multiple time zones; prioritize, resolve conflicts, prepare the SVP for what's next
  • End-to-end booking and itineraries (flights, hotels, ground, visas) for trips, industry events, festivals and showcases handling last-minute changes gracefully
  • Manage incoming information flow and act as a first point of contact for internal and external partners
  • Prepare agendas, briefing notes, minutes, follow-ups and chasing actions to closure; prepare, set up and reset meeting rooms so every session starts on time and looks the part
  • Submit and track expenses, process invoices and POs, manage recharges and approvals
  • Keep documents, decks, deal files and notes organised and instantly retrievable; prepare materials in advance
  • Support around artist and partner visits, dinners, showcase logistics, guest lists
  • Provide some support for personal scheduling, travel and admin

Requirements

  • Excellent written and spoken German and English
  • High communication skills
  • Proactive by default; anticipate rather than react, spotting issues before anyone asks
  • Ability to move fast and stay on top of things when several things break at once
  • Sound judgement on priorities and absolute discretion with confidential information
  • Calm under pressure, flexible around evening events and occasional travel
  • Genuine interest in music and a basic understanding of how the industry works
  • Eagerness to learn, take feedback well and understand the business, not just the admin
  • Reliability, initiative and trust
  • Ability to use autonomy quickly
