About the Role

The Support Assistant A coordinates key administrative components for Toronto Shelter & Support Services, which provides short-term accommodation, case management, meals, and programming for homeless individuals.

Responsibilities

  • Perform specialized administrative tasks including research, review, reconciliation, audit, and records management.
  • Manage purchasing functions, including procurement documents, purchase requisitions, and purchase card reconciliation.
  • Prepare and process documents in accordance with policies and legislation.
  • Review and prepare reports on accounting functions such as payroll, accounts payable, and contracts.
  • Conduct variance report analysis and recommend corrective actions for financial issues.
  • Coordinate year-end accounting requirements including commitments and accruals.
  • Monitor unit work standards and implement process improvements for efficiency.
  • Administer and compose statistical summaries and reports.
  • Develop and document unit policies and procedures.
  • Interpret regulations and compile data for forecasting and budgeting.
  • Reconcile and manage accounts, cash, and statements.
  • Provide work direction, training, and guidance to assigned staff.
  • Operate computer software and prepare presentation materials.
  • Provide information and guidance to staff and the public.
  • Represent the division at meetings and committees.
  • Maintain relationships with internal and external stakeholders.
  • Coordinate meetings, events, and schedules, including transcribing minutes.

Requirements

  • Extensive office administration experience at a senior level within a team environment.
  • Extensive experience with Microsoft Office Suite and Outlook.
  • Considerable experience with administrative systems relating to payroll, budget, cash management, and accounting.
  • Considerable experience using financial systems such as SAP.
  • Considerable experience developing and implementing administrative work procedures.
  • Excellent organizational and time management skills.
  • Ability to perform in a high-volume, high-stress environment.
  • Ability to identify and analyze problems to develop effective solutions.
  • Ability to provide work direction, training, and orientation to staff.
  • Ability to meet deadlines and manage conflicting priorities.
  • Knowledge of municipal by-laws, policies, and procedures regarding purchasing and financial reporting.
  • Effective verbal and written communication skills.
  • Ability to handle confidential materials.
  • Understanding of homelessness issues and related services.
  • Customer service skills for addressing inquiries and complaints.
  • Ability to work independently.
