About the Role
The Administrative Assistant will serve as the primary contact for program applicants, performing clerical duties and assisting program participants. This role involves managing communications with applicants, participants, and stakeholders, while upholding S:US core values of integrity and customer service.
Responsibilities
- Perform general clerical duties including photocopying, faxing, mailing, filing, and coordinating deliveries.
- Handle sensitive information in compliance with HIPAA and Agency guidelines.
- Manage all internal and external communications via phone, email, and written correspondence.
- Operate high-volume phone systems and respond to calls, messages, and emails promptly.
- Coordinate with internal and external stakeholders, including staff, program participants, visitors, and vendors.
- Arrange, schedule, and coordinate the office calendar.
- Prepare and edit communications, presentations, and other documents.
- Perform database management, including data entry into Excel and Electronic Health Records (EHR) systems.
- File and retrieve documents and reference materials.
- Provide timely, accurate, and clear documentation according to established policies and procedures.
- Manage competing demands by responding effectively to challenges, deadlines, and emergencies.
- Respond to program participants promptly, accurately, and with courtesy and respect.
- Represent the organization positively to outside resources.
- Support the mission and values of SUS and address behaviors that undermine group effectiveness or core values.
- Perform additional duties as assigned.
Requirements
- High School Diploma or GED required.
- A minimum of one year of experience in an administrative setting.
- Some knowledge/experience working in the social service or related field is preferred.
- Computer literate in Microsoft suite, with skill sets in Word, Excel, and Outlook.
- Ability to work in a fast-paced environment.
- Understanding, appreciation, and commitment to the philosophy and mission of Services for the UnderServed (S:US).
- College or continuing education preferred.
- Bilingual English/Spanish speaking preferred.
