About the Role
As a Care Coordinator at Confluent Health, you will be the first point of contact for patients, setting the tone for their entire experience. This fast-paced, multi-tasking role requires organization, warmth, and professionalism, with the ability to stay calm, follow through, and take ownership to make a direct impact on patients and the clinical team.
Responsibilities
- Create a welcoming, professional first impression for patients, visitors, and referral sources.
- Manage front desk operations including patient check-in, check-out, scheduling, insurance verification/authorization, and phone calls.
- Review, schedule, and follow up on incoming referrals by gathering information, creating or updating patient records, and helping patients understand next steps.
- Keep patient flow and schedules moving by confirming appointments, working waitlists, filling cancellations, and following up with patients who need future visits.
- Collect copays, balances, and other patient payments accurately and professionally, including basic payment tracking or reconciliation when needed.
- Protect patient privacy and uphold HIPAA standards in all front desk interactions and documentation.
Requirements
- Genuinely enjoys helping people, thrives in a busy environment, and takes ownership of work.
- High School Diploma or GED required.
- 1+ year of experience in a customer-facing or patient-facing role (e.g., retail, hospitality, call center, medical reception).
- Demonstrated ability to manage multiple tasks at once while staying organized and detail-oriented.
- Comfortable and confident communicating on the phone, including handling upset or frustrated callers with patience and professionalism.
- Basic computer proficiency: comfortable learning new systems, navigating scheduling software, sending emails, and working in spreadsheets.
- No prior medical experience required — comprehensive training is provided.
