About the Role

This role provides comprehensive administrative and secretarial support to an Executive, ensuring smooth daily operations and effective management of schedules and communications within a global healthcare company.

Responsibilities

  • Perform numerous diversified secretarial, clerical, and administrative duties for the Executive.
  • Type correspondence, perform word processing, and schedule appointments.
  • Coordinate and assist in preparing associated business reports.
  • Process all communications, including phone calls, email, correspondence, memos, meeting minutes, mail, and faxes.
  • Coordinate logistics for domestic and international visitors.
  • Prepare agendas and materials for executive meetings.
  • Establish and maintain support systems for structuring priorities necessary to the Executive.
  • Assist in managing the executive's schedule, including scheduling meetings, appointments, and overseas business trip logistics and itinerary.
  • Support other departments as instructed, and arrange and prepare company-wide events.
  • Handle confidential matters requiring discretion and judgment.
  • Act as a liaison with other departments and outside agencies, including senior-level management.
  • Manage expense reimbursements and receipt filing.
  • Support expats by providing cultural understanding, emergency support for families, and acting as a liaison between expats and local employees.
  • Manage common resources for all CE (Commercial Excellence) teams, such as shared lockers and mailing lists.
  • Handle meal ordering for meetings.
  • Support CE teams in events and meetings.
  • Perform all other duties as assigned.

Requirements

  • 5 years or more of working experience in a multinational company as an assistant to an executive.
  • Standard skilled in MS applications, especially Excel, PowerPoint, and Word.
  • Fluent in English (writing, reading, speaking).
  • Native level in Japanese (writing, reading, speaking).
  • Ability to quickly learn the company system and operation.
  • Ability to prioritize important agendas and manage executive calendars effectively, ensuring confidentiality.
  • Understanding of foreign cultures and ability to communicate smoothly with related stakeholders.
