About the Role
The Administrative Assistant - Root Farm is responsible for typing and maintaining correspondence, coordinating clerical staff, attending meetings, maintaining filing systems, generating reports, processing phone calls, assisting with scheduling, routing mail, requisitioning supplies, and acting as a program or department liaison to promote positive communications. This role also involves developing and implementing a comprehensive volunteer program.
Responsibilities
- Type and maintain correspondence including letters, memos, contracts, forms, reports, logs, and charts.
- Coordinate program or department office support functions and oversee assigned clerical staff.
- Attend committee meetings, take minutes, and distribute.
- Maintain and update the filing system.
- Generate and maintain department or program specific reports, charts, and records.
- Process incoming telephone calls, refer to appropriate staff, take messages, and respond to requests for information.
- Assist in scheduling appointments, trainings, meetings, and special events.
- Record, route, and distribute incoming mail.
- Research and requisition supplies and equipment, and verify delivery.
- Act as a liaison for the program and promote positive communications.
- Establish a work environment that creates positive communication and assimilates new employees.
- Ensure compliance with all pertinent government and agency regulations and operating standards.
- Develop a comprehensive recruitment plan to attract a diverse cadre of volunteers.
- Interview, screen, and select applicants based on skills, qualifications, and appropriateness to the assignment.
- Obtain references and medical clearances for each volunteer service, if required.
- Develop and conduct a comprehensive volunteer training program.
- Develop written policies and procedures governing volunteer service, including a policy and procedure manual, volunteer handbook, and assignment guides.
- Schedule volunteers based on program needs.
Requirements
- Must possess an ability to work with animals, specifically horses.
- Must have a valid NYS Driver’s License.
