About the Role
Ecclesiastical Insurance Canada is seeking a Receptionist/Administrative Assistant for a 6-month contract in their downtown Toronto office. This role is responsible for maintaining a professional and organized front office, managing calls and visitors, coordinating office operations, and providing administrative support. The position offers an opportunity to build a long-term career and contribute to an efficient and positive workplace.
Responsibilities
- Professionally manage all incoming calls and warmly welcome guests, ensuring timely, courteous, and professional interactions.
- Handle all incoming and outgoing mail, courier packages, and office supply deliveries, including sorting, distributing, and preparing items for delivery.
- Maintain office and kitchen supplies, including ordering, stocking, and purchasing perishable food items.
- Ensure cleanliness and organization throughout the workspace, including keeping the kitchen area tidy and presentable.
- Coordinate and support internal events and meetings, including catering arrangements and room setup and cleanup.
- Provide administrative support for documents, reports, invoices, and internal communications.
- Coordinate with building management to address facility maintenance issues and ensure the overall upkeep of the office environment.
- Support Health and Safety initiatives as part of facility maintenance.
- Support Ecclesiastical’s Corporate Social Responsibility (CSR) initiatives by assisting with donation drives, seasonal decorations, and internal communication.
Requirements
- Minimum of 3 years’ experience in a front desk or reception role or in a customer-facing office/facility management role within an office environment.
- Demonstrated experience in managing multiple priorities and pivoting to tasks that need immediate attention.
- Professional, courteous, and approachable demeanour with a strong customer service orientation.
- Excellent organizational and administrative abilities, with the capacity to manage multiple tasks efficiently.
- Strong interpersonal and communication skills, both verbal and written.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and comfortable using standard office equipment.
- Exceptional attention to detail and accuracy in all aspects of work.
- Demonstrated ability in coordinating tasks and providing outstanding service to internal and external stakeholders.
- Requires a high level of initiative and the ability to learn through hands-on experience with minimal formal instruction.
- Perform regular manual handling of boxes, snacks, stationary, general office suppliers and grocery deliveries as part of daily operations.
