About the Role
The Executive Assistant will play a crucial role in supporting an Executive Vice President within the People & Capability function, supporting the Services Business. This role requires a high level of professionalism, discretion, and confidentiality, with the ability to work independently. The Executive Assistant will be a key business partner, ensuring the executive can focus on strategic initiatives by efficiently managing their time and resources. This role will offer capacity for developmental opportunities, allowing the individual to explore areas of interest and grow professionally. The ideal candidate is passionate about the customer experience journey, highly motivated, and intellectually curious.
Responsibilities
- Manage calendar and schedule meetings across time zones.
- Arrange domestic and international travel, including flights, cars, and hotels.
- Process visa applications when necessary.
- Perform general administrative duties to support department operations and provide coordination across the team.
- Manage and prepare expense reporting in-line with company Travel and Entertainment policy.
- Manage department purchases, invoice payments, and Purchasing Card reconciliation, ensuring alignment with budget and finance policies.
- Plan and coordinate events, on or off site, with internal and external participants.
- Coordinate with guest speakers, catering, venue booking, and other event-specific needs.
- Support the onboarding of new team members.
- Create and edit presentations and other communications.
- Maintain agendas for various recurring team meetings.
- Manage and communicate corporate applications and compliance programs, such as Access Management, Vivo, Concur, Oracle, and other internal applications.
- Manage ad hoc administrative programs for the department and utilize spreadsheets or databases to monitor departmental information.
- Research complex issues on behalf of the executive.
- Serve as administrative liaison with others within and outside the company.
- Participate in various development opportunities dependent on personal interest and goals.
Requirements
- Administrative experience in a corporate environment interfacing with senior and executive level management and senior customers.
- Comfort with multi-tasking in a highly collaborative setting.
- Maintain a high degree of confidentiality and discretion.
- Prior HR experience is a plus.
- Strong Microsoft Office Suite skills, particularly Outlook.
- Excellent oral and written communication in English.
- Strong team player, decisive and results driven, with high energy levels and initiative.
- Abide by Mastercard’s security policies and practices.
- Ensure the confidentiality and integrity of the information being accessed.
- Report any suspected information security violation or breach.
- Complete all periodic mandatory security trainings in accordance with Mastercard’s guidelines.
