About the Role

The Executive Assistant will provide operational and administrative support to the Chief Financial Officer, interacting with senior leadership and managing complex scheduling, project management, and information requests. This role involves administering travel, expenses, meeting logistics, and preparing materials, all while maintaining strict confidentiality and exercising good judgment.

Responsibilities

  • Process expenses, invoices, and outside services costs.
  • Coordinate meetings and events.
  • Track information requests and collate presentations.
  • Undertake special projects accurately and in a timely manner.
  • Provide administrative support to enhance the efficiency of the Chief Financial Officer and business.
  • Utilize technology systems including Microsoft Office 365 suite, Workday, and Travel & Expense.
  • Identify, research, and resolve complex problems and issues.
  • Establish strong business relationships with other administrative professionals to determine swift solutions.
  • Provide accurate and timely responses to work requests.
  • Interact with senior management and their administrative support staff on significant matters.
  • Anticipate and respond to requests by modifying plans based on priorities.
  • Compose and prepare reports and correspondence, ensuring correct spelling, grammar, punctuation, usage, and content.
  • Maintain calendar by scheduling, vetting, and prioritizing items.
  • Handle and respond to informational inquiries, redirecting them to the appropriate team member.
  • Prepare domestic and international itineraries and travel arrangements.
  • Manage various initiatives through project management.
  • Support standing management led meetings and events.
  • Perform other projects and duties as assigned, including ad-hoc requests.

Requirements

  • College diploma/University degree or equivalent experience.
  • 5+ years of experience providing executive support.
  • Strong computer proficiency, including MS Office, Word, PowerPoint, Excel, Teams, and OneNote.
  • Readiness and capability to adopt AI and technology to enhance efficiency.
  • Proficiency with billing, travel and expense management systems.
  • Experience in working within fast-paced, complex, dynamic, multi-cultural business environments.
  • Excellent oral and written communication abilities.
  • Exemplary judgment and discretion, with the ability to work with a wide range of sensitive and confidential issues.
  • Thorough knowledge of general office practices.
  • Resourcefulness in gathering data and getting answers to questions.
  • Detail-oriented with the ability to work efficiently with complex information.
  • Self-starter and proactive with the ability to work with minimal supervision.
  • Ability to manage workload effectively with competing demands.
  • Proven organization skills, including the ability to shift focus between responsibilities quickly.
  • Ability to manage and prioritize multiple tasks in a dynamic work environment.
  • Proven ability to meet aggressive deadlines.
  • Motivated to learn new skills in a spirit of continuous improvement and personal growth.
