About the Role

Coordinates surgical scheduling for multiple physicians in a busy surgical practice, including pre-admission processes, OR times, diagnostic procedures, and add-on cases. This role involves scheduling and coordinating surgical cases with other physician specialty practices and departments.

Responsibilities

  • Communicate with patients in person or via telephone with a cheerful and helpful attitude.
  • Provide coordination of surgery with physician, patient, facility, and vendor.
  • Obtain surgical procedure and diagnosis codes for authorization/pre-certification.
  • Contact the billing department for pricing for out-of-network and self-pay patients.
  • Support physician, clinical, and clerical team members with questions and scheduling challenges.
  • Complete pre-certification/authorization with the patient's insurance company, providing necessary documentation.
  • Schedule peer-to-peer reviews with providers if necessary.
  • Document authorization/pre-certification and contact information.
  • Coordinate surgical clearance appointments between patient, departments, other providers, and/or PCP.
  • Notify patients of scheduled procedures and pre-op instructions, and coordinate mailing of documents.
  • Coordinate with the hospital regarding patient arrival times and communicate this information to patients.
  • Enter surgeries in the EMR Surgical Booking module and maintain spreadsheets with accurate surgery dates and times.
  • Assist in reviewing and revising policies and procedures related to the scheduling function.
  • Attend meetings with physicians to review procedures and case load.
  • Verify add-on cases performed after hours and confirm surgeries for accurate billing.
  • Review OR schedule against office physician schedule for accuracy and update EMR.
  • Facilitate timely and efficient patient transportation to/from procedures.
  • Communicate pertinent information related to surgical cases with providers and other departments via EMR.
  • Act as a regional liaison for RRH affiliates and regional sites needing assistance with procedure coordination.
  • Obtain records from affiliates and sites not on EMR.
  • Perform other responsibilities as necessary to ensure practice efficiency.
  • Maintain operational knowledge of department equipment.

Requirements

  • Three plus years of relevant healthcare experience.
  • Strong analytical, computer, organizational, customer service, and communication skills.
