About the Role

The Department Secretary provides clerical and administrative support for the department, including reception, transcription, and file maintenance. This role enhances the department's integration within the system by performing various tasks and operations while adhering to policies, procedures, and maintaining confidentiality. Responsibilities

  • Perform receptionist duties, including greeting, answering phone calls, and responding to visitor inquiries.
  • Refer complainants and grievances to the appropriate person for follow-up.
  • Assist with facilitating central communication within the department.
  • Perform all aspects of scheduling functions for the department, including leadership schedules, visitor and patient schedules, and scheduling lab work/referrals.
  • Communicate schedule changes and updates in a timely fashion.
  • Manage workflow within the department to achieve deadlines.
  • Act as a liaison with other departments, potentially including patient flow.
  • Process incoming and outgoing faxes.
  • Receive and distribute mail to appropriate departments and individuals.
  • Inventory, order, record, and receive all supplies.
  • Oversee maintenance of all office equipment.
  • Compile daily, weekly, monthly, and quarterly reports and data as requested by leadership.
  • Assist leadership with document preparation for interviews, hiring processes, performance evaluations, and other personnel actions.
  • Process all requests flowing through the department, including obtaining authorization through various channels like insurance.
  • Track supply levels and order supplies as needed.
  • Process multiple forms of letters and maintain patient demographic databases.
  • Float to other units and perform all job functions as necessary.
  • Manage medical records in clinical areas, including opening charts, filing, audits, and closing records.
  • Complete patient registration, verify accuracy, and keep information current.
  • Process and verify patient charges, and collect co-pays.
  • Process physician orders related to scheduling procedures.
  • Release medical records according to HIPAA policy.
  • Reconcile petty cash boxes in long-term care settings and investigate discrepancies.
  • Oversee daily payment and deposit ledgers.
  • Maintain inventory, storage, and cleanliness of equipment and treatment areas for PT.
  • Provide patient care for PT, including equipment setup, preparing patients for treatment, and assisting therapists with patient transfers, ambulation, toileting, and equipment adjustments.
