About the Role

The Administrative Coordinator will provide administrative and personnel support to the Music Business & Legal Affairs team, with a focus on the Media Group. This role does not involve creative responsibilities related to music placement in productions.

Responsibilities

  • Provide complete administrative support to the team.
  • Accurately process and record a large volume of payments in a timely manner.
  • Reconcile payment discrepancies and resolve any issues promptly.
  • Obtain, review, and verify necessary documents for payment processing.
  • Maintain organized and up-to-date records of all transactions and vendor documents.
  • Facilitate the onboarding process for new vendors, including collecting and verifying required information.
  • Communicate with vendors to resolve any setup issues and ensure a smooth onboarding experience.
  • Create and maintain detailed tracking, cost status reports, and other documents.
  • Perform general office duties such as answering phones, filing, photocopying, and circulating correspondence and documents.
  • Assist with scheduling meetings and appointments, including coordinating logistics.
  • Support cue sheet administration, including training, creation, review, analysis, revision, submissions, and related tracking.
  • Assist with music clearance by researching and tracking relevant publishing, label, and PRO information.
  • Assist with basic document support, including red-lining various music-related agreements and drafting correspondence.
  • Maintain and organize electronic and physical files across internal systems such as DMS, ELF, and SharePoint.
  • Arrange travel and all accommodations as assigned, create comprehensive and detailed itineraries, and process expense reports to ensure timely reimbursement.
  • Perform other related duties in support of the department as requested by management.

Requirements

  • 2+ years of administrative/finance/accounting experience.
  • Prior experience at a music or production company, or an entertainment law firm.
  • Proficiency in Microsoft Office, including Word, Excel, PowerPoint, and Outlook.
  • Ability to multi-task and work in a high-speed, high-volume office.
  • Excellent organization skills and attention to detail.
  • Excellent communication skills and follow-through.
  • Comfortable working with a variety of personalities.
  • Ability to easily adapt and be a positive team player.
  • Knowledge of music business/legal terminology.
  • Proven ability to exercise discretion and integrity.
  • Prior experience supporting a senior-level executive.
