About the Role

As our Clinical Operations Coordinator, you will play a key role in supporting the delivery of our clinical services by coordinating clinician capacity, managing rotas and ensuring our multidisciplinary teams can provide a seamless patient experience. Working at the centre of our clinical operations, you will help optimise resources, solve operational challenges and contribute to the continued growth of one of the UK's leading digital healthcare providers.

Responsibilities

  • Building, maintaining and publishing clinician rotas across the clinical team.
  • Planning clinical capacity to ensure appointment availability meets patient demand.
  • Monitoring clinician utilisation and adjusting schedules to maximise efficiency.
  • Managing annual leave, sickness, study leave and other planned absences.
  • Coordinating shift changes and rota amendments while maintaining service coverage.
  • Identifying future capacity risks and implementing solutions before they affect patients.
  • Acting as the main operational contact for clinicians regarding schedules, availability and day to day queries.
  • Resolving scheduling and operational issues quickly to keep clinics running smoothly.
  • Working closely with Patient Support, Pharmacy and Clinical teams to deliver a seamless patient journey.
  • Supporting the onboarding of new clinicians, including diary setup, rota planning and system access.
  • Producing reports on clinician utilisation, appointment capacity and operational performance.
  • Analysing trends to support workforce planning and continuous improvement.
  • Escalating operational risks or staffing concerns where appropriate.

Requirements

  • Experience in healthcare operations, clinic coordination, workforce planning, rota coordination or medical administration.
  • Experience managing rotas, schedules, diaries or operational planning in a fast paced environment.
  • Excellent organisational skills and the ability to prioritise competing demands.
  • Strong communication skills with the confidence to build relationships across clinical and operational teams.
  • Good IT skills, including experience using scheduling systems, spreadsheets or clinical software.
  • A proactive, solutions focused mindset with strong analytical skills.
  • The ability to stay calm under pressure and adapt quickly to changing priorities.
