About the Role

The Collections Specialist manages the firm’s accounts receivable portfolio by partnering with attorneys, clients, and Finance personnel to facilitate timely collections. This role acts as a trusted advisor on collection strategies while maintaining positive client relationships and ensuring policy compliance.

Responsibilities

  • Manage an assigned portfolio of attorney and client accounts to reduce aged receivables and improve performance.
  • Partner with attorneys and practice group leaders to develop and execute collection strategies.
  • Review and analyze aging reports to identify delinquent accounts, trends, and risks.
  • Contact clients regarding outstanding invoices via professional written and verbal communication.
  • Research and resolve billing discrepancies, payment disputes, and unapplied cash.
  • Document collection activities and account status in the financial management system.
  • Monitor payment arrangements and follow up on commitments.
  • Coordinate with Billing, Accounts Receivable, and Client Accounting teams to resolve payment delays.
  • Prepare collection reports, aging summaries, and portfolio analyses for monthly meetings.
  • Recommend accounts for escalation, payment plans, write-offs, or outside collection agencies.
  • Support month-end and year-end reporting and collection initiatives.
  • Ensure compliance with client billing guidelines and firm policies.
  • Identify opportunities to improve collection processes and operational efficiency.
  • Maintain strict confidentiality regarding client financial information.

Requirements

  • Associate’s or Bachelor’s degree in Accounting, Finance, Business Administration, or equivalent experience.
  • 3-5+ years of collections or accounts receivable experience, preferably in a law firm or professional services environment.
  • Experience managing high-volume portfolios and working with professionals or partners.
  • Strong knowledge of legal billing practices and collection best practices.
  • Advanced proficiency in Microsoft Office, particularly Excel.
  • Experience with financial management systems such as Aderant Expert or similar software.
  • Ability to travel 5-10% domestically by ground or air.
