About the Role

The Conference Assistant is responsible for establishing a warm, welcoming, and professional atmosphere for all Employees, Clients, Executives, and guests. This role delivers the highest standards of service, maintains customer satisfaction, and ensures the space is optimized and running smoothly.

Responsibilities

  • Liaise with Rapport Director and Coordinator to complete conference room setups to agreed specifications.
  • Ensure all meeting rooms are cleaned and reset by adjusting all chairs to consistent height.
  • Reset all conference rooms and public space for the following day according to daily set-up sheets.
  • Liaise with FM Supplier to move/store furniture from storage as needed for meeting preparation.
  • Deliver materials for meeting/training to meeting rooms prior to the start of the event.
  • Provide exceptional internal and external workplace experience.
  • Liaise with FM Supplier to ensure the cleanliness of all conference rooms and auditorium.
  • Collaborate and interact effectively with all other departments.
  • Effectively resolve amenities-related issues to enhance the user experience.
  • Perform other duties as assigned.

Requirements

  • High School Diploma /GED required.
  • Minimum of 1-3 years of experience in hospitality industry.
  • Ability to multi-task; managing multiple projects and work assignments.
  • Ability to handle last-minute changes in a fast-paced environment with a high volume of events.
  • Tact in working with professional peers from other departments and all subordinates.

Skills

  • Proficient skills in Word, Excel, PowerPoint, Access, and Outlook.

Experience Level

  • 1-3 years

Education Level

  • High School Diploma /GED
  • Associates degree in hospitality management, communications or other related field is preferred

Salary/Compensations

  • $19 - $20 / hour
