About the Role
This position provides comprehensive administrative support to the Residential Property Management and Operations team, focusing on scheduling, travel coordination, document preparation, and project logistics.
Responsibilities
- Proactively manage calendars, travel arrangements, meetings, and conference calls
- Coordinate orientation meetings and logistics for leadership roles
- Assist with building onboarding plans and scheduling training
- Support the planning and execution of the Annual Residential Leaders conference and Residential Academy
- Create and maintain property, project files, and filing systems
- Manage file archives
- Coordinate meeting logistics including catering and visitor badges
- Complete monthly expense reports and allocate telecom expenses
- Handle invoice coding and expense tracking
- Field internal stakeholder requests and manage routine matters
- Manage vendor consultant system access
- Draft and distribute correspondence and reports
- Build PowerPoint presentations and Excel reports
- Maintain master onboarding deck
- Manage mail, couriers, and office supplies
- Maintain Outlook databases and organizational charts
- Update training manuals and job aids
- Complete location tracking logs for US-based VPs
- Host monthly department business update meetings
- Assist in creating and executing post-engagement survey action plans
- Organize team milestone celebrations and social events
Requirements
- Minimum 5 years of experience supporting senior executives
- Hotel or residential industry experience
- Proficiency with MS Office Suite
- Competency with general office equipment
- Ability to work independently and take initiative
- Ability to prioritize and manage multiple tasks under pressure
- Agility in resolving problems and handling unexpected issues
- Integrity and discretion with confidential information
- Strong team player with a professional and positive attitude
- Excellent verbal and written communication skills
- Strong planning, organizational, and detail-oriented skills
