About the Role
Performs secretarial and other administrative duties for the entire department, including foremen, supervisors, Directors and upper management, requiring above average tact and skills. Must exercise considerable independent judgment and discretion in handling confidential data and completing tasks and projects in a timely fashion.
Responsibilities
- Performs secretarial, clerical and general office duties, including handling and processing of requisitions, check requests, purchase orders, and utility bills.
- Files all related paperwork, as well as personnel filing.
- Acts as receptionist to the office, screening telephone calls and walk-ins, and initiating problem resolution.
- Follows up to ensure problems are solved to the satisfaction of all concerned.
- Types, copies, and distributes material as necessary.
- Responsible for the transcription and distribution of minutes for the BOC Committee.
- Sets up meetings and arranges appointments for management.
- Assists in training new employees in office procedures.
- Types yearly employee evaluations containing confidential information, including salary.
- Updates departmental spreadsheets and databases with employee information.
- Responsible for pick up and distribution of paychecks.
- Performs any other related tasks as needed.
Requirements
- Minimum of Associate’s Degree in Secretarial Science or equivalent and at least two years of experience as an executive secretary.
- OR High school degree and/or Secretarial Program Certificate and at least seven years of progressive secretary experience.
- Must be able to communicate well verbally.
- Must be very organized and self-motivated.
- Requires access to information considered sensitive, including HIPAA Protected Health Information and other information regulated by Federal and New York State statutes.
- Workforce members are expected to ensure that access to information is based on a “need to know” and is the minimum necessary to properly perform assigned duties.
- Use or disclosure shall not exceed the minimum amount of information needed to accomplish an intended purpose.
- Reasonable efforts shall be made to ensure that information is adequately protected from unauthorized access and modification.
