About the Role
The Departmental Assistant serves as the primary point of contact for six academic units, providing comprehensive administrative support to staff, faculty, and students. This role involves managing front-line inquiries, maintaining databases, coordinating examinations, supporting website maintenance, and organizing departmental events.
Responsibilities
- Resolve administrative issues and escalate complex problems as necessary.
- Maintain databases by creating and updating records.
- Generate reports and monitor work order status.
- Coordinate the receipt, storage, and processing of examinations.
- Upload digitized documents to recruitment systems and maintain digital platforms and websites.
- Collect and submit grades and organize course evaluations.
- Manage event logistics including room bookings, catering, and accommodations.
- Prepare expense reimbursements and process invoices for cost recovery.
Requirements
- Advanced College Diploma (3 years) or an equivalent combination of education and experience.
- Minimum of three years of related administrative experience, preferably in higher education.
- Experience acting as a first point of contact with high-volume customer service.
- Experience with examination procedures, including grade submission and storage.
- Proficiency with course management systems, databases, MS Office, and virtual platforms.
- Experience with digital communications and website maintenance software.
- Experience organizing and executing event logistics.
- Ability to handle confidential and sensitive administrative matters.
- Familiarity with copyright laws regarding academic materials.
