About the Role

The Conflicts & Business Intake Analyst ensures an efficient business intake process for new matters by conducting research and analyzing data to confirm that accepting new business does not negatively affect current or past clients or the Firm’s ability to impartially represent clients. This role is responsible for the Firm’s new business intake, including matter openings, client matter amendments, and conducting conflict of interest searches across multiple offices.

Responsibilities

  • Conduct conflict of interest and business research searches using multiple databases.
  • Analyze, review, and summarize search results to prepare accurate conflict reports for legal professionals.
  • Open new client matters and ensure compliance with firm policies, regulatory requirements, and law society obligations.
  • Review and validate matter opening requests, amendments, and related documentation for accuracy and completeness.
  • Maintain data integrity by analyzing, updating, and resolving issues within client and matter management systems.
  • Provide quality control by verifying information, correcting errors, and ensuring compliance with established procedures.
  • Support users by troubleshooting system issues, monitoring workflow requests, and resolving processing irregularities.
  • Maintain and update client management databases, ensuring accurate and current records.
  • Follow firm policies and procedures related to conflicts management, matter intake, and compliance activities.
  • Participate in process improvements, system enhancements, testing of new tools, and other administrative duties.

Requirements

  • A university degree or college diploma (preferably in information management, library science & technology or information science).
  • A minimum of three years' experience in a legal environment or professional services firm.
  • An equivalent combination of education, training, and experience may be considered.
  • Maintain professionalism and confidentiality of Firm and client information.
  • Background and reference checks, including a criminal record check, credit check, and employment and educational verifications, are required.
  • Ability to provide exceptional customer service.

Skills

  • Advanced research, investigation, analytical, and problem-solving skills with strong judgment and strategic thinking.
  • Experience searching databases and analyzing, interpreting, and validating data.
  • Strong attention to detail, accuracy, quality, and continuous improvement mindset.
  • Ability to work independently, prioritize effectively, and escalate issues when appropriate.
  • Excellent time management and organizational skills in fast-paced, deadline-driven environments.
  • Strong verbal and written communication skills, including report writing and presentations.
  • Proven collaboration, negotiation, and relationship-building skills with diverse stakeholders.
  • Strong technical proficiency, including MS Office, Intapp Risk & Compliance Suite, accounting software, database applications, business intake systems and troubleshooting.
  • Educate and provide guidance to Firm members regarding the policies and procedures of business intake and conflict management.
