About the Role

The Concierge is the initial point of contact for potential residents, families, vendors, and the community, either in person or via phone. This role is responsible for ensuring all guests have a pleasant first experience with the community, maintaining professionalism and politeness. The Concierge serves visitors by greeting, welcoming, and directing them appropriately, notifying team members of visitor arrival, and maintaining security and telecommunications systems.

Responsibilities

  • Maintains a professional personal presentation
  • Welcomes visitors by greeting them, in person or on the telephone; answering or referring inquiries
  • Answers the phone within 3 rings; determines the nature of the call to either relay information or route the call as appropriate
  • Takes detailed messages with name, date, time, and return phone number
  • Ensures team members receive their phone messages promptly
  • Maintains knowledge of who is available to receive an inquiry or host a tour
  • Maintains security by following procedures, monitoring log books to include visitor sign-in and sign-out
  • Maintains a safe and clean reception, lobby, and Welcome Room areas by complying with procedures, rules, and regulations
  • Receives and sorts mail for the Leadership Team
  • Maintains yearly transportation book for resident’s doctor appointments as necessary
  • Communicates with Driver at least 24 hours in advance regarding resident appointment dates and times
  • Reports all accidents and incidents as soon as possible to your supervisor, no matter how minor
  • Maintains the confidentiality of residents’ personal care information
  • Honors the residents’ personal and property rights
  • Must be in company uniform and resident-ready at all times

Requirements

  • Knowledge of computers and relevant software applications, including Microsoft Office and Outlook
  • Able to communicate effectively with all levels of management, team members, residents, family members, vendors, referral sources, and outside contacts
  • Able to make independent decisions
  • Must be able to communicate in a warm, friendly, and caring manner
  • Must possess a passion to work with and around senior citizens
  • Knowledge of administrative and clerical procedures
  • Knowledge of customer service principles and practices
  • Able to sit 75% of the day
  • Able to concentrate with frequent interruptions
  • Able to work under stress and in emergency situations
  • Able to work under conditions that require sitting, standing, walking, reaching, pulling, pushing, and grasping
  • Able to talk and hear effectively in order to convey messages, instructions, and information to residents and team members
  • Occasionally lift/carry up to 50 pounds
  • Work in all areas of the community
  • Subject to reactions from dust, disinfectants, and cleaning chemicals and may be exposed to infectious waste, diseases, and other conditions
  • Required to use personal protective equipment and supplies to prevent burns, falls, and infection and follow safety policies and procedures
  • Requirements for personal protective equipment include infection control kit, rubber gloves, and non-slip shoes
  • Subject to infectious diseases, substances, and odors
