About the Role
Maintain a presence on the front reception desk, offering assistance to all personnel and visitors. Sustain a professional outlook to deliver exceptional service and create a lasting impression.
Responsibilities
- Ensure the reception area is clean, tidy, and welcoming, meeting five-star audit standards.
- Maintain a consistently high standard of personal appearance and display a courteous, professional, and helpful nature.
- Adhere to uniform standards if supplied, ensuring it is kept clean and presentable.
- Perform duties in accordance with instructions from management.
- Comply with all reception processes, procedures, and standards of work.
- Establish professional working relationships with staff, tenants, and contractors, serving as the first point of contact.
- Greet visitors, maintain an accurate log of their records, and obtain tenant authority before allowing visitors beyond reception where possible.
- Assist and direct visitors to their required location or contact within the building.
- Answer telephone and intercom system queries professionally.
- Maintain an up-to-date reception operations manual detailing processes and procedures.
- Maintain a continuous physical presence at the reception desk during opening hours.
- Handle all on-site queries efficiently and professionally, directing them to third parties as appropriate and informing the querent of the action, outcome, and timeframe.
- Sign for tenant deliveries, document them, and obtain tenant signatures upon ID verification.
- Acquire knowledge of property systems and procedures to manage the property during team member absences.
- Complete all required log reports accurately.
- Do not undertake tasks that pose a health and safety risk unless trained.
- Assist staff, occupiers, and visitors during emergencies.
- Ensure landlord obligations for health and safety and fire precautions are met, and contractors adhere to site procedures.
- Abide by all company rules, terms, and conditions.
- Assist with the building’s occupier portal 'South Quay Collective' (SQC) using Locale.
- Undertake unpredictable and varied tasks as required, working flexibly.
Requirements
- Excellent verbal and written communication skills.
- General Education to GCSE standard or equivalent.
- Reliable, helpful, and well-presented.
- Team player with strong customer service skills, providing a helpful and polite service.
- Pleasant telephone manner and efficiency in relaying messages and taking instructions.
- Ability to deal with confidential information.
- Good organizational and time management skills.
- Careful and conscientious with attention to detail.
- Willingness and ability to learn on the job, keen to undertake training and career development.
- Solid Corporate Customer Service Experience.
- A bubbly, positive attitude, and a visible passion for customer services.
