About the Role
We are seeking an experienced Administrative Assistant III to provide high-level executive support to Directors and senior leaders within our organization. This role is central to the smooth execution of executive operations, customer engagements, and cross-functional business activities.
Responsibilities
- Manage complex calendars, communications, and logistics for multiple senior leaders across domestic and international time zones (US, EMEA, APAC)
- Coordinate all aspects of domestic and international travel, including visa requirements, documentation, itineraries, and proactive response to changes
- Plan and execute executive events, offsite meetings, customer visits, site tours, and team activities — managing all associated logistics including catering, transportation, visitor access, and hospitality
- Serve as the primary coordination point for customer-facing meetings and external engagements; liaise directly with customer administrative teams and external stakeholders
- Prepare and organize materials for executive discussions, business reviews, and high-level corporate meetings; manage purchase orders and expense reports using Concur
- Provide backup administrative support to the broader executive admin team and support onboarding activities for new team members
Requirements
- Associate's degree in business or related field
- 3+ years of experience providing administrative support to senior-level executives
- Demonstrated experience managing complex international travel, including visa and documentation requirements
- Proficiency in Microsoft Office Suite, collaboration platforms, and Concur (or equivalent expense management system)
- Experience coordinating directly with executive leadership, customers, and external administrative staff on sensitive matters
- Ability to maintain discretion and confidentiality when handling sensitive business information
