About the Role

The HR team manages and enhances all aspects of human resources and employee experience, ensuring the firm attracts and retains top legal and business service talent. They develop and implement HR policies, manage employee relations, and administer compensation and benefits programs to foster a fair and collaborative workplace. The team also focuses on training, professional development, and cultivating a positive work culture, while overseeing performance management, employee engagement, and labor law compliance.

Responsibilities

  • Oversee lawyer compliance for the Tokyo office, including practicing certificates, regulatory registrations, visas and required reporting.
  • Provide information such as new joiner/leaver, various changes for monthly payroll to Finance. Also manage time tracking system for payroll.
  • Maintain accurate HR documentation and employee records in line with Firm policies, using iManage and HR systems effectively.
  • Act as HRIS (Workday) super user, managing employee lifecycle data, onboarding and offboarding information, and HR reporting.
  • Coordinate local and international benefits and process invoices, liaise with insurers and the Global Benefits team, and advise employees on accessing benefits.
  • Support annual compensation and evaluation processes through data management, reporting, letter production and meeting coordination.
  • Manage core HR operations including leave administration, staff movement tracking and compliance-related reporting.
  • Partner with the HR Manager and Global Mobility teams on onboarding, offboarding, secondments, regulatory updates and HR/office events.
  • Serve as the primary recruitment contact for the Tokyo office, advising partners and managers on hiring across legal and business services.
  • Manage end-to-end experienced hire recruitment, including sourcing, agency management, interview coordination and recruitment administration, utilising HRIS (Workday) and our Manila Service Centre to ensure efficient hiring process.
  • Monitor market and salary data to support competitive offers and informed hiring decisions.
  • Lead Early Careers recruitment campaigns, working with Employer Brand and APAC Talent Acquisition teams on student-focused marketing materials and adverts.
  • Plan and deliver student recruitment events and summer clerkship program, ensuring strong partner engagement.
  • Oversee assessment, selection and offer processes for summer clerks and NQ Bengoshi, including clerk-to-NQ conversion.

Requirements

  • 3 years+ experience in an HR Admin/Operational role, with a focus on recruitment/talent acquisition
  • Experience in managing HRIS (Workday preferred)
  • Native Japanese language skills and fluent business English
  • Candidates with experience in the legal industry are preferred
  • Good communication and strong interpersonal skills
  • Well versed with Japan statutory regulations
  • Good problem-solving skills
  • Ability to work under pressure, multitask and handle diverse issues in a fast paced and dynamic environment.
