About the Role

We are seeking an exceptional Executive Assistant to support our SVP of Investor Relations and help drive the effectiveness of the Investor Relations function. This high-impact role sits at the heart of a rapidly growing company, connecting the SVP and broader Investor Relations team with investors, research analysts, banks, vendors, senior leaders, and internal stakeholders. You will serve as a trusted partner, managing complex priorities, coordinating high-stakes engagements, and ensuring the team operates smoothly across multiple time zones. The ideal candidate is highly organized, detail-oriented, proactive, and resourceful, with extensive experience supporting senior finance executives. Your judgment, discretion, and ability to anticipate needs will play an important role in supporting Nscale’s engagement with the investment community.

Responsibilities

  • Own a complex, fast-moving calendar with a high volume of internal and external stakeholders, prioritizing the SVP’s time like a business operator across multiple time zones.
  • Anticipate conflicts, dependencies, and time-sensitive windows, resolving scheduling challenges with minimal guidance.
  • Coordinate domestic and international travel logistics with precision, including visas, multi-leg itineraries, and last-minute changes.
  • Prepare and submit expense reports and support budget tracking for the Investor Relations team.
  • Coordinate logistics for earnings calls, investor and analyst days, roadshows, investor conferences, non-deal roadshows, site visits, and other investor engagement activities.
  • Partner with investors, research analysts, banks, vendors, and internal stakeholders to ensure meetings and events are executed seamlessly.
  • Prepare and distribute meeting agendas, briefing materials, and schedules so senior executives are fully prepared for external engagements.
  • Draft, review, and coordinate routine correspondence with investors, analysts, banks, and other external stakeholders on behalf of the SVP.
  • Maintain accurate investor contact information, meeting records, distribution lists, engagement calendars, and other information within the company’s investor relations systems.
  • Manage the Investor Relations team calendar and key deliverables schedule, proactively tracking deadlines, dependencies, and required inputs.
  • Prepare IR team agendas, capture decisions and action items, and drive follow-up through completion.
  • Provide administrative and project coordination support to the broader Investor Relations team during earnings, investor events, and other critical workstreams.
  • Collaborate closely with other Executive Assistants to streamline departmental workflows and coordinate executive schedules.
  • Support effective cross-functional communication across teams and senior stakeholders.
  • Handle sensitive and confidential financial, corporate, and personnel information with the utmost discretion.

Requirements

  • 7–10+ years of experience supporting senior executives, preferably within Investor Relations, Finance, Corporate Development, or another high-intensity corporate function.
  • Experience supporting investor relations or senior finance executives is strongly preferred.
  • A background in technology, financial services, or a high-growth company is a strong plus.
  • Proven ability to manage complex calendars, executive travel, competing priorities, and a high volume of senior stakeholder interactions.
  • Advanced proficiency in Google Workspace and Microsoft Office, with comfort using Slack, Microsoft Teams, and Zoom.
  • Experience with investor relations CRM platforms, event-management tools, or similar systems is preferred.
  • Exceptional judgment, discretion, and professionalism when handling sensitive information.
  • Strong executive presence and excellent written and verbal communication skills, including drafting polished correspondence independently.
  • A proactive, solutions-oriented approach, with the ability to remain calm under pressure and follow through to completion.
  • Outstanding attention to detail, personal accountability, and the ability to build trusted relationships across departments and with external stakeholders.
