About the Role
This role provides critical administrative, systems, and coordination support to the Key Account Manager and Facility Managers across multiple sites, directly contributing to safe operations, strong contractor performance, and seamless service delivery.
Responsibilities
- Provide administrative support to the Key Account Manager and Facility Managers across all sites.
- Manage Permit to Enter systems, compliance registers, documentation, and record keeping.
- Coordinate work order management via MyMCS, including allocation, monitoring, overdue reporting, and closure.
- Support vendor queries relating to invoicing, contracts, insurance, and work orders.
- Assist with invoice processing, budget preparation, and financial tracking.
- Act as the FM Systems Super User, providing training and support on FM tools and Kronos.
- Prepare and monitor KPI reporting, ensuring timely completion by Facility Managers.
- Attend weekly HSEQ meetings and share key outcomes with the FM team.
- Support contractor management, onboarding, inductions, and performance monitoring.
- Assist with people processes including recruitment, onboarding, offboarding, and training.
- Identify opportunities for continuous improvement and implement approved initiatives.
- Maintain strong relationships with internal stakeholders, subcontractors, and client representatives.
Requirements
- Proficiency in Microsoft Office Suite.
- Strong planning, organising, and analytical capabilities.
- Excellent written and verbal communication skills.
- Previous experience in a similar facilities, operations, or administrative role.
- Demonstrated leadership qualities and self-motivation.
- Strong customer relationship skills, including the ability to navigate challenging situations.
- Ability to deliver results under pressure.
