About the Role

Councillor Support Officer provides comprehensive, high-level administrative and operational support to Councillors, managing diaries, coordinating meetings, processing information requests, and ensuring all enquiries are tracked, followed up, and resolved in line with Council policy. It maintains robust correspondence and records management systems, oversees the daily operations of the Councillors’ room, and prepares a wide range of professional documents including agendas, minutes, briefs, information packs, and weekly updates.

Responsibilities

  • Manage diaries and coordinate meetings.
  • Process information requests and ensure follow-up and resolution.
  • Maintain correspondence and records management systems.
  • Oversee daily operations of the Councillors’ room.
  • Prepare professional documents such as agendas, minutes, briefs, information packs, and weekly updates.
  • Coordinate travel, accommodation, registrations, expenses, procurement, and purchase orders.
  • Manage the Councillor intranet and EDM communications.
  • Support Council meetings and events through agenda distribution, minute-taking, venue setup, IT and catering arrangements, and follow-up of action items.
  • Respond to urgent demands and anticipate emerging issues.
  • Maintain effective information flow and work flexibly to meet strict deadlines.

Requirements

  • Qualifications in business administration or equivalent.
  • Current Class C Driver's Licence.
  • Experience in a local government, political, or corporate environment delivering effective and efficient administrative and corporate support.
  • Ability to liaise, communicate, and work cooperatively with all levels of Council.
  • Strong diary management/time management experience.
  • Demonstrated experience working autonomously and as part of a team.
  • Demonstrated experience using Microsoft Office, Nitro Pro, and document management systems (i.e., TRIM and Pathways).
  • Experience in taking minutes.
  • Demonstrated experience working in a highly sensitive confidential environment and being discreet.
  • Proven ability in showing initiative in the workplace, prioritizing workloads, meeting deadlines, and delivering quality outcomes.
  • Must be an Australian Citizen or Permanent Resident.
  • Required to obtain a National Police Check.
  • May be required to undergo a pre-employment medical check.

  • $83,635.86 to $91,643.51 + Super
