About the Role

This position ensures smooth administrative operations, including office management, vendor relations, and scheduling support for a growing company. The role requires organization, discretion, and the ability to manage diverse tasks while collaborating with leadership and various departments.

Responsibilities

  • Order and manage office supplies, snacks, and equipment; track inventory and reorder before items run out.
  • Manage vendor relationships (cleaning, IT support, maintenance, catering) and serve as the point of contact for service issues.
  • Maintain the office calendar, including conference room bookings, internal schedules, and event coordination.
  • Track and reconcile basic office-related expenses, flagging any discrepancies to leadership.
  • Set up and prepare conference rooms for meetings, interviews, and events.
  • Ensure the office, including common areas, remains clean, stocked, and presentable.
  • Receive, log, and route incoming deliveries and packages.
  • Provide light scheduling, calendar coordination, and travel booking support for leadership.
  • Assist with onboarding logistics for new corporate hires, including workspace setup and coordination.
  • Help draft, format, and proofread internal communications and documents.
  • Maintain organized digital and physical filing systems.
  • Assist in coordinating internal meetings, offsites, and company events.
  • Take meeting minutes as required.
  • Handle ad hoc administrative projects across departments.

Requirements

  • 1+ years of administrative or office support experience.
  • Strong organizational skills and the ability to manage multiple priorities effectively.
  • Proficiency in Microsoft Office / Google Workspace and ability to learn new tools quickly.
  • Professional, dependable, with good judgment and follow-through.
  • Ability to handle sensitive information discreetly and support leadership directly.
  • Proactive approach to identifying and resolving potential issues.
