About the Role

Gilbane Development Company is seeking a reliable, bilingual Support Assistant to join their team in New York City. This role will support the Project Manager and Assistant Project Managers at a construction site office in West Harlem, assisting with a large-scale, three-year renovation project involving six 20-story buildings. The Support Assistant will coordinate with residents, contractors, and property management, and will attend monthly evening meetings.

Responsibilities

  • Work with residents to schedule apartment access for contractors.
  • Respond to requests for special accommodations, such as temporary unit moves.
  • Create and deliver construction update letters and notices in English and Spanish.
  • Post notices in buildings for residents.
  • Call residents to follow up on scheduled appointments.
  • Communicate with contractors regarding resident rescheduling requests.
  • Organize monthly resident update meetings.
  • Answer resident calls for updates or feedback on renovation work.
  • Photograph existing conditions in apartments and common areas, cataloging and uploading images.
  • Assist with data entry regarding renovation work status using Procore and Sharepoint.
  • Conduct surveys to confirm resident satisfaction with renovation work.
  • Provide one-on-one assistance to households with packing and preparation for renovation work.

Requirements

  • Bilingual (English-Spanish) is required.
  • Excellent communication and administrative skills.
  • Comfortable working on the phone and in-person with tenants in NYCHA buildings.
  • Knowledge of Microsoft Word and Excel.
  • Data entry experience preferred (working in spreadsheets and forms).
