About the Role

Join a fast-paced team responsible for the secure management, tracking, and maintenance of confidential documents in a controlled vault environment. The ideal candidate is highly organized, detail-oriented, and committed to maintaining the highest standards of accuracy, security, and compliance.

Responsibilities

  • Receive, catalog, store, retrieve, and archive confidential documents.
  • Maintain accurate document inventories and chain-of-custody records.
  • Process document requests while ensuring timely and accurate fulfillment.
  • Perform quality control checks to verify document accuracy and completeness.
  • Operate document tracking systems and update records as documents move through the lifecycle.
  • Maintain document security and ensure compliance with company policies and regulatory requirements.
  • Support audits by locating and providing requested documentation.
  • Identify and report document discrepancies or process improvement opportunities.
  • Safeguard sensitive information with strict confidentiality.
  • Follow established records management and document retention procedures.
  • Maintain an organized and secure vault environment.
  • Collaborate with internal departments to support document retrieval and storage needs.
  • Meet productivity, accuracy, and service level expectations.

Requirements

  • High school diploma or GED required.
  • Previous experience in document control, records management, administrative support, banking operations, or a related field.
  • Strong attention to detail with excellent organizational skills.
  • Proficiency with Microsoft Office and basic computer applications.
  • Ability to accurately perform data entry and manage confidential information.
  • Ability to lift and move document boxes as needed.
  • Associate degree in Business Administration or a related discipline.
  • Experience in a secure records, financial services, banking, or document management environment.
  • Familiarity with document management systems and records retention practices.
  • Experience supporting compliance or audit activities.
  • Excellent verbal and written English communication skills and the ability to interact professionally with a diverse group are required.
