About the Role
Wisedocs is seeking a proactive individual to own end-to-end logistics for marketing events and manage day-to-day office operations. This role offers significant ownership and growth potential within a fast-paced AI platform company.
Responsibilities
- Own end-to-end logistics for marketing events, including venue sourcing, vendor coordination, and on-site execution.
- Build and maintain event runsheets, timelines, and budgets, tracking against actuals.
- Manage RSVPs, guest lists, and follow-up communications for events.
- Liaise with the marketing team on event objectives, branding, and reporting.
- Oversee all onsite logistics on event days, including setup, teardown, and troubleshooting.
- Assist with planning and execution of company All Hands meetings.
- Identify friction points and build repeatable playbooks for event processes.
- Own event list management and lead handoff to sales.
- Build and maintain event registration pages and manage attendee registration.
- Coordinate travel and accommodations for the event team.
- Manage day-to-day office operations, ensuring common areas are clean and stocked.
- Serve as the primary point of contact for facilities and liaise with building management.
- Own the snack and beverage program, tracking inventory and placing orders.
- Maintain office supply inventory and reorder as needed.
- Manage incoming and outgoing mail, packages, and courier deliveries.
- Support onboarding logistics for new hires, including desk setup and welcome kits.
- Assist with light administrative tasks such as printing, filing, data entry, and scheduling.
- Flag operational gaps and propose process improvements.
- Support the executive team in preparing presentations and materials.
- Support the executive team with event and travel schedules.
Requirements
- Recently graduated or in the final year of a post-secondary program.
- Highly organized and dependable.
- Thrives in fast-paced environments with multiple concurrent tasks.
- Comfortable owning projects from start to finish with minimal supervision.
- Clear communicator across Slack, email, and in person.
- Proficient with Microsoft Excel, Word, and Teams.
- Able to commit to 3 set days per week in-office.
- Available for events, which may include some evenings or weekends with advance notice.
- Strong desire to build a long-term career at Wisedocs.
- Ambition to grow into Marketing, Business Operations, or a broader operational leadership role.
