About the Role
The Operations Specialist - Virtual Events role is responsible for the strategy, logistics, and execution of virtual sessions for Gartner prospects and clients across the marketing funnel. This role supports sales activity by attracting, engaging, and converting leaders and their teams through compelling Gartner insights and experiences. The ideal candidate is highly organized, detail-oriented, data-driven, and collaborative, with a strong ability to manage multiple priorities in a fast-paced environment. They are innovative, adaptable, and comfortable working both independently and across teams. This role will report to the Manager, Marketing.
Responsibilities
- Host and execute live virtual sessions by introducing presenters, delivering scripted remarks, providing audience guidance, managing promotional announcements, and operating webinar platforms.
- Coordinate event preparation and logistics by managing rehearsals, presenter access, training, materials, and session assets.
- Manage content publishing and presentation materials by collecting, reviewing, editing, and uploading presentations, scripts, and promotional content.
- Ensure program quality and readiness by maintaining accurate documentation, monitoring event details, and proactively resolving issues.
- Coordinate stakeholder communications by supporting presenters, sales teams, prospective clients, and internal partners.
- Support program operations and reporting by managing registration tracking, stakeholder updates, participation reporting, and promotional requests.
- Serve as a cross-functional liaison by collaborating with research, marketing, and operational teams to align priorities, manage deadlines, and support program objectives.
- Analyze program performance by monitoring audience engagement, registration trends, and session metrics.
- Improve program effectiveness by evaluating workflows, promotional channels, and operational processes.
- Advance innovation and operational excellence by recommending new approaches, supporting pilot initiatives, and implementing best practices.
Requirements
- Bachelor’s degree in marketing, business, or related field preferred
- Experience with virtual platform content preferred
- 2-3 years of marketing, operations and/or related experience
- Experienced user of Excel and PowerPoint
- Familiarity with Google Drive
- Effective oral and written communication skills
- High level of accuracy and proven attention to detail with excellent organizational skills
- Project Manager mindset who can juggle multiple, competing priorities simultaneously
- Process-oriented individual who looks to maximize efficiencies in new or existing procedures
- Someone who is both independent in handling their responsibilities yet willing and able to collaborate with others
