About the Role

Savills Safety+ Facilities Management is seeking an experienced Facilities Manager to deliver facilities management services in London, responsible for hard & soft facilities management, statutory Health & Safety, and environmental compliance for occupiers and visitors. The Safety+ Facilities Management network is vital for Property Management, overseeing a national portfolio and ensuring excellent customer service, property presentation, and maintenance. The role involves managing property safety, compliance, and operations while fostering positive occupier relationships and supporting clients and occupiers.

Responsibilities

  • Ensure compliance with all statutory and legal requirements.
  • Maintain a full set of risk assessments at each property and on Datastation, implementing action plans diligently.
  • Achieve and maintain a compliance rating of 95%.
  • Complete monthly site audits and upload them to the system by the 25th of each month.
  • Ensure high standards of cleaning, repair, and presentation are achieved and maintained within property budgets.
  • Visit occupiers monthly or quarterly, as per PMA, and update Savills Occupier+.
  • Develop close working relationships with occupiers, managing service satisfaction and confidence in Savills.
  • Attend sites in the event of an emergency and report in line with incident processes.
  • Review service partner performance and address shortcomings in partnership with Service Partner+.
  • Prepare and implement contingency plans for adequate site attendance.
  • Establish and implement best practices, ensuring compliance with safe working practices.
  • Oversee the planned and preventative maintenance program, developing an appropriate strategy.
  • Conduct and record vacant property inspections as required, in line with insurance requirements and Savills policy.
  • Efficiently and thoroughly handover existing sites between FMs when required.
  • Spend a minimum of 60% of the week on proactive, planned, and reactive site visits.
  • Monitor tenant activity, including vacation, alterations, and signage changes, advising the Management Surveyor.
  • Make decisions and recommendations aligned with the Savills Green Charter.
  • Make decisions and recommendations aligned with Savills D&I policies.
  • Record and report utility consumption as required.
  • Set and implement an appropriate environmental strategy, including waste and energy management.
  • Prepare the first draft of the Service Charge budget for the Management Surveyor four months in advance of the year-end.
  • Monitor Service Charge expenditure, ensuring all Contract and Purchase orders are raised and managed per process and policy.
  • Assist with quarterly variance reporting, forecasting, and reconciliations.
  • Attend team and occupier meetings as required.

Requirements

  • IOSH and/or NEBOSH qualification.
  • Experience in preparing Service Charge budgets and managing expenditure across multiple sites.
  • Excellent organization and time management skills.
  • Self-motivated with excellent interpersonal skills.
  • Fully IT literate.
  • Attendance at internal training courses is compulsory.
  • Self-identification of training needs is required.
