About the Role
This position will provide administrative support for our San Francisco office as well as the whole firm and its location, as needed. Duties include clerical, reception, scheduling meetings, general office coordination, purchasing and cleaning, as well as project-based support work. Excellent communication skills and a can-do attitude are crucial to this position as the person in this position may be the first contact with a client or vendor.
Responsibilities
- Oversee office systems operation through contact with phone and data providers, IT consultants, and technology support staff.
- Track systems maintenance needs.
- Act as the point person for building management.
- Maintain office supply inventory.
- Maintain a centralized cloud database for office calendars, personnel contacts, and vendor information.
- Ensure printer and plotter functionality, manage supplies, and coordinate repairs.
- Handle mailings, shipments, and packages.
- Answer main line phone calls.
- Assist in the production of physical deliverables through printing, copying, scanning, and binding.
- Plan employee and firm milestone celebrations and events.
- Arrange office travel and catering.
- Maintain tidiness of conference rooms, copy room, and collaboration areas.
- Maintain the San Francisco office, including general cleanup of surfaces, kitchen, and common areas.
- Support Accounting, Marketing, and Project Management staff with administrative tasks.
- Conduct aspects of office orientation for new employees.
- Create a positive and professional physical environment through regular office cleaning, organizing, and document management.
- Perform other duties as assigned.
Requirements
- Prior Office Administration experience is required (at least 3 years).
- Ability to work independently and wear multiple hats.
- Ability to communicate clearly through verbal and written communication formats.
- Strong critical thinking, professional judgment, time management, and decision-making skills.
- Excellent organization and attention to detail skills.
- Ability to lift 20 lbs.
Skills
- Proficiency in Microsoft products, including Word, Excel, PowerPoint, and Outlook.
- Familiarity with virtual meeting platforms such as Zoom, Teams, etc.
