About the Role
This role is pivotal in establishing operational excellence for a new JLL contract, serving as a key liaison between the account team, vendors, and client stakeholders. You will build the foundation for contract compliance, quality assurance, and high-performing service delivery, manage dual financial systems, utilize the Corrigo CMMS platform, and provide data-driven insights to leadership and clients. Responsibilities
- Raise and manage Purchase Orders (POs) in JLL and client finance systems.
- Track expenditure against approved POs and ensure budget adherence.
- Maintain accurate financial records and support month-end reconciliation.
- Work with suppliers to manage Accounts Payable KPIs.
- Administer contractor email license renewals.
- Manage guest WiFi access and visitor access protocols.
- Provide general administrative support to the account team.
- Coordinate contractor and visitor access and onboarding.
- Log and maintain accurate health and safety records.
- Track and report near misses, good catches, incidents, and contractor hours.
- Support site teams in maintaining compliant health and safety records.
- Provide administrative support for work orders using the Corrigo platform.
- Monitor work order progress and ensure timely completion.
- Support the effective use of the CMMS platform.
- Maintain data quality and integrity within the CMMS.
- Generate regular reports on key performance measures and account metrics.
- Become an account specialist with comprehensive knowledge of performance indicators.
- Compile data to provide insights on account performance.
- Support SLA monitoring and reporting requirements.
- Monitor and analyze KPIs and service metrics, preparing comprehensive reports.
- Act as a quality champion for the account, ensuring alignment with JLL's ISO 9001 standards.
- Proactively support internal and external audits, coordinating preparation and documentation.
- Maintain audit-ready records across all responsibility areas.
- Support continuous improvement initiatives and corrective action processes.
- Coordinate with the quality management team on audit schedules.
- Comply with JLL global standards and procedures.
- Coordinate cross-site activities and ensure process consistency.
- Build relationships with site-based teams and stakeholders.
- Report to the Account Director, providing operational updates and collaborating on account development.
