About the Role
The Catering Sales Associate is responsible for booking, managing, and overseeing internal and external events, including trade shows, weddings, meetings, and conferences. This role involves obtaining all pertinent information for banquet functions, negotiating costs, managing catering contracts, and adhering to all Seneca Niagara Casino & Hotels policies and procedures.
Responsibilities
- Answers incoming phone calls and greets guests professionally.
- Screens calls, schedules appointments, provides information, and refers callers to appropriate departments.
- Prepares and distributes correspondence for Catering Sales, including BEOs, welcome letters, and thank you letters.
- Completes request forms for wedding and banquet menu packets, amenity requests, key requests, and other department orders.
- Ensures follow-up on department requests three days prior to group arrival.
- Generates and prepares Catering Resumes at least 14 days prior to group arrival.
- Distributes catering resumes at least two weeks prior to group arrival, ensuring accuracy and professional presentation.
- Creates and maintains organized catering files.
- Updates Master BEO files with new/revised BEOs and inputs menu items and deposits in Amadeus.
- Orchestrates Catering Pre-Cons, including calendar invites, managing attendance, and setting up meetings.
- Produces and distributes weekly reports such as Daily & Weekly Schedule, Daily Events & BEO Packets, and Change Log.
- Captures and distributes lead information to the appropriate Catering team and follows up to ensure client contact.
- Records client guarantees and changes in Amadeus and records all deposits with receipts.
- Orders and maintains stock of department office supplies and collateral within budget.
- Ensures bottled water and site visit supplies are readily available.
- Maintains Catering Office equipment, including ordering printer ink, toner, and paper.
- Maintains general office appearance, ensuring files are stored appropriately and supply cabinets are organized.
- Assists clients and internal/external guests professionally.
- Prepares and completes BEOs for all in-house meetings/events and entertainment.
- Services assigned catering and sales groups.
- Attends BEO meetings, Catering Sales meetings, F&B Groups meetings, and other necessary meetings.
- Participates in special projects as requested.
- Maintains a strong understanding of Seneca Niagara Casino and Hotel's philosophy and goals.
- Assists other employees in performing their duties.
- Be familiar with check and cashiering procedures.
- Responsible for entry of all SWS items and purchases.
- Responds to clients and guests according to established quality standards.
- Relays guest complaints and/or compliments to the manager or supervisor on duty.
- Adheres to food and beverage policies, procedures, and liquor laws.
- Maintains knowledge of Seneca Niagara Casino and Hotel's property, including hours of operation and services.
- Maintains full knowledge of restaurant, banquet, and beverage menus and prices.
- Maintains a current understanding of information security policies and procedures.
- Provides exceptional customer service and maintains a professional work environment.
- Meets attendance guidelines and adheres to regulatory, departmental, and company policies.
- Completes all required SGC Training programs within nine months of employment.
Requirements
- Must have an outgoing, friendly personality and a cheerful, accommodating disposition.
- Must be 18 years of age or older upon employment.
- High School Diploma or its equivalent required.
- Minimum three years in food and beverage involving fine dining, catering, and banquets.
- Minimum two years outside sales experience.
- Excellent interpersonal, customer service, communication, coaching, team building, and problem-solving skills required.
- Must possess general knowledge of all phases of full-service dining and food and beverage service procedures.
- Must be able to evaluate statistical reports and other business reports.
- Must be computer literate, including broad knowledge of all Microsoft Office applications, SWS knowledge, and banquet/conference/catering software.
- Amadeus Delphi System and Amadeus Diagrams preferred.
- Must be available weekdays/nights, weekends, and some holidays.
- Must be able to stand, walk, and move through all areas of the banquet for a lengthy period.
- Must maintain physical stamina and a proper mental attitude to work under pressure in a fast-paced, casino environment.
- Must be able to assist with special needs of customers.
- Must be able to work in an environment where smoking is permitted.
