About the Role

The Hollings Cancer Center (HCC) Financial Coordinator is a critical position to the Clinical Trials Office (CTO), working closely with clinical operations, the regulatory unit, and other University departments. This role is responsible for research grant activities, overseeing contract submissions and execution, and developing and negotiating study budgets.

Responsibilities

  • Oversee the budget process for all new trials conducted through the HCC Clinical Trials Office (CTO), including receiving and translating prospective reimbursement analysis (PRA) information.
  • Develop study calendars, input CPT codes, and create budgets based on PRA and protocol information.
  • Incorporate all trial-related costs into study budgets, working with Principal Investigators (PIs), the CTO, and ancillary services.
  • Review complex research protocols to identify budget items and assess financial feasibility with the HCC Resource Allocation and Feasibility Team (RAFT).
  • Negotiate budgets with sponsors and determine study financial viability.
  • Develop complex budgets accounting for personnel, patient care services, indirect costs, start-up costs, and CTO services.
  • Ensure study contracts, budgets, and calendars align with the PRA for research billing compliance.
  • Track budget review and negotiation status to ensure timely study activation.
  • Report budget milestones in the clinical trials management system (CTMS) and update stakeholders.
  • Maintain proper filing and organization of budget documents and correspondence.
  • Oversee the budget process for all amendments conducted through the HCC CTO.
  • Review amended CTMS clinical calendars and utilize amended PRA information to update budgets.
  • Review amendments and ensure budget changes and amendment contracts are executed.
  • Work closely with ORSP on research contract review, adhering to University policies.
  • Utilize Cayuse for creating and submitting new studies and contract amendments.
  • Develop internal budgets per MUSC policy, ensuring alignment with other study documents.
  • Track contract review status and ensure timely submission and processing for study activation.
  • Report contract milestones in the CTMS and update stakeholders.
  • Participate in CTO start-up and amendment projects, staff meetings, PI Office Hours, and CRG meetings.
  • Participate in special projects or workgroups for process improvement or strategic planning.

Requirements

  • A high school diploma and three years of professional experience in a related area such as accounting, auditing, finance, or commercial lending.
  • A bachelor's degree with multiple accounting courses may substitute for two years of the required work experience.
  • Computer literacy.

Skills

  • Understanding of translation of study procedures outlined in a protocol and PRA.
  • Working knowledge of how calendars play a role in billing compliance.
  • Ability to review complex research protocols.
  • Knowledge of financial feasibility assessment.
  • Ability to develop working relationships with PIs.
  • Budget negotiation skills.
  • Understanding of indirect costs (IDCs).
  • Knowledge of CTO services and fee schedules.
  • Ability to track budget and contract status.
  • Proficiency in reporting budget and contract milestones.
  • Experience with Cayuse for contract management.
  • Familiarity with MUSC policy and guidance for internal budgets.
  • Ability to maintain tactile sensory functions.
  • Ability to maintain 20/40 vision, corrected.
  • Ability to see and recognize objects close at hand and at a distance.
  • Ability to match or discriminate between colors.
  • Ability to determine distance/relationship between objects; depth perception.
  • Good peripheral vision capabilities.
  • Ability to hear and/or understand conversations.
  • Ability to perform gross motor functions with frequent fine motor movements.
