About the Role
The Creative Synch team is seeking an Assistant to provide administrative and operational support to the New York team, ensuring smooth workflow, accurate tracking of pitches and assets, and effective coordination.
Responsibilities
- Provide day-to-day administrative support, including managing calendars, coordinating meetings, and supporting team scheduling.
- Take, organize, and distribute meeting notes.
- Support the management, organization, and delivery of audio assets, ensuring requests are completed accurately and on time.
- Organize and maintain global team assets, shared resources, and the synch contacts database.
- Monitor tour schedules and support event invitations, ticketing, and RSVPs for assigned markets.
- Assist with the creation and distribution of Creative Synch newsletters and digital communications.
- Pull data reports and writer information from internal systems.
- Maintain accurate records of synch pitches, submissions, and deals in Kobalt’s internal database.
- Prepare and submit expense reports for senior Creative Synch executives.
- Provide general operational and administrative support to senior members of the Creative Synch team.
Requirements
- Administrative experience preferred, ideally supporting and/or working closely with senior-level executives.
- Music industry experience preferred, with working knowledge of the recorded music and/or music publishing business.
- Proficiency in Microsoft Office Suite, including Outlook, Word, and Excel, and Google Workspace.
- Highly organized with strong attention to detail and the ability to manage multiple priorities simultaneously.
- Proactive, collaborative, and resourceful, with sound judgement and professionalism.
- Strong written and verbal communication skills.
- Comfortable working in a fast-paced, high-volume, and evolving environment.
- Ability to maintain a high level of confidentiality.
- Experience with Photoshop, Canva, or iMovie.
- Experience supporting a creative, music, entertainment, or media team.
- An interest in music publishing, synchronisation, and creative licensing.
- Experience maintaining databases, tracking activity, or supporting reporting processes.
