About the Role
The Intake and Rent Administration Coordinator is responsible for coordinating the end-to-end intake process for Neighbours Community Homes (Neighbours) participants. Reporting to the Manager of Tenancy Services, the Coordinator also supports rent administration functions based on Rent Geared to Income (RGI) and other guidelines, while providing timely and exceptional customer service.
Responsibilities
- Accept and process supportive housing referrals from the Access Point, the City of Toronto, and partner agencies.
- Assess eligibility of prospective Tenants and provide information to ineligible applicants.
- Manage internal transfer waiting lists and process internal transfer applications.
- Manage vacancies to minimize vacancy loss.
- Identify suitable applicants from waiting lists for vacancies, coordinate interviews and/or unit viewings.
- Coordinate move-ins and move-outs with other departments, including property services, finance, and support services.
- Prepare leases, verify documents, income, and calculate rent for new and transferring Tenants; accept initial rent payment, issue receipts and unit keys; orient new Tenants of their rights and responsibilities.
- Receive notice of terminations/vacancies from Tenants and/or staff; inform relevant staff, including property services and finance staff.
- Collect, analyze, and report intake-related data, including vacancies, referral source, and housing tenure by program.
- Maintain the vacancy list for Group Homes.
- Learn and maintain current knowledge of RGI and relevant guidelines for determining rent.
- Implement the income verification process for all tenants, including issuing letters, following up with Tenants and Support Teams, and initiating rent charge changes.
- Implement and maintain electronic fund transfers from Tenants for rent payments directly from resident bank accounts.
- Communicate with ODSP, OW, and other bodies about direct payments and electronic funds transfers.
- Provide information and explanations of rent charges to Tenants, Support Workers, Managers, and other relevant staff.
- Maintain relationships with partner agencies of group homes; collect documents, calculate rent, inform partner agencies, and update Yardi accordingly.
- Be knowledgeable about and act within relevant legislation including the Occupational Health and Safety Act, Ontario Human Rights Code, Accessibility for Ontarians with Disabilities Act (AODA), Residential Tenancies Act (RTA), Mental Health Act, Child and Family Services Act, Personal Health Information Protection Act (PHIPA), Housing Services Act, and Ontario Fire and Building Codes.
- Establish and maintain effective working relationships with Neighbours staff, tenants, referring agencies, and relevant community organizations.

- Represent the agency in a positive manner with clients, colleagues, and the community at large.
- Attend supervision meetings with the Manager, Quality and Social Housing Administration for the purpose of review of work expectations and performance evaluation.
Requirements
- Undergraduate Degree in Social Services or related field.
- Certified Rent Geared to Income Administration for the City of Toronto.
- Experience in rent calculation for subsidized housing.
- Experience in rent administration module in Yardi.
- 3-5 years’ experience in working with homeless people or people living with serious mental illness/addiction and people who have experienced violence and social isolation.
- 3-5 years’ experience in intake and related work experience in a residential setting.
- 1-2 years’ experience in data analysis and reporting.
- Able to travel to housing sites.
Skills
- High level of communication, assessment skills and crisis intervention skills.
- Proficiency in mental health recovery approach, harm reduction, anti-oppression and trauma-informed principles.
- Knowledgeable about the Ontario Human Rights Code, Accessibility for Ontarians with Disabilities Act (AODA), Residential Tenancies Act (RTA) and Social Housing Reform Act.
- Ability to work within a multi-disciplinary team environment as well as independently.
- Exceptional skills in Microsoft Suite.
Location
- Work evenings and weekends as required.
- Requirement to travel to and work from other Neighbours locations as required.
Work Type
- 35 hours per week.
Salary/Compensations
- $31.11 per Hour
