About the Role
Provide administrative and investment support to a team of Investment Professionals within Equity, Fixed Income and Multi Asset & Trading. Leverage executive time by providing administrative and technical support based on a broad knowledge of executive activities and department operations. Act as the primary liaison representing executives to internal and external contacts. Work autonomously and collaborate with other senior administrative assistants to maintain a high level of client service.
Responsibilities
- Schedule internal and external appointments.
- Arrange client visits.
- Prepare correspondence.
- Coordinate catering requests.
- Compile agendas.
- Screen calls and visitors.
- Coordinate travel arrangements, including international travel.
- Prepare multi-trip travel itineraries.
- Process expense reports.
- Maintain calendars.
- File and organize critical documents.
- Respond to routine matters and ad hoc requests on behalf of executives.
- Coordinate appropriate materials for meetings, appointments, and presentations.
- Bring to manager(s) attention only those matters requiring their input.
- Communicate with and for manager(s) while they are travelling.
- Provide guidance to others by answering technical questions.
- Manage special and ad-hoc projects related to division and/or corporate activities.
- Compile, create, and maintain various reports, databases, and charts using software applications.
- Respond to maintenance requests, researching, troubleshooting, and resolving problems.
- Investigate issues with systems or seek explanations for unusual outcomes.
- Ensure seamless back-up support is provided to manager(s) and associated teams.
- Participate in admin support team meetings to understand department processes.
- Identify opportunities to improve and streamline work quality and efficiency.
- Partner with management to build a collaborative working environment.
- Promote leadership, exercise good judgment, and maintain professionalism across business units and stakeholder groups.
Requirements
- Educated to at least A level standard or equivalent.
- Prior experience working in a fast-paced admin role in a corporate working environment.
- Good mathematical ability.
- Enthusiastic with strong customer service, communication, and interpersonal skills.
- Willingly adapts to and is motivated by change.
- Highly organised with the ability to prioritise workload, multitask, and work to tight deadlines.
- Self-directed and able to perform assignments independently, demonstrating a pro-active approach and flexibility with change.
- Articulate, with good attention to detail and a high level of discretion.
- Advanced knowledge and solid working experience of technical applications (e.g. MS Office including PowerPoint, Excel, Outlook and Word).
- Executive or senior level administrative / project management experience in a business environment.
- Strong team player with the ability to make decisions on behalf of the team and take collective responsibility.
- Ability to work and communicate effectively within a global/virtual team setting.
- Solid correspondence drafting, editing, and proofreading skills.
- Ability to multitask and prioritize workload to meet deadlines.
- Undergraduate degree with relevant experience at a senior level (Preferred).
- Familiarity with investment software applications (Preferred).
- Financial Services sector experience (Preferred).
