About the Role

The Senior Administrative Assistant will provide administrative and investment support to a team of Investment Professionals within Equity, Fixed Income, and Multi Asset & Trading. This role leverages executives' time by providing administrative and technical support, acting as an intermediary, and managing day-to-day activities. The position requires a positive, tactful demeanor, professional presence, and strong communication skills, with the ability to work autonomously and collaboratively.

Responsibilities

  • Leverage manager(s) time by performing administrative duties including scheduling appointments, arranging client visits, preparing correspondence, coordinating catering, compiling agendas, screening calls and visitors, coordinating travel arrangements, preparing travel itineraries, processing expense reports, maintaining calendars, filing documents, and responding to routine matters.
  • Manage information flow by coordinating meeting materials, bringing important matters to manager(s) attention, and communicating on behalf of manager(s) during travel.
  • Serve as a subject matter expert to provide guidance and answer technical questions.
  • Manage special and ad-hoc projects related to division and/or corporate activities, which may be complex, sensitive, and confidential.
  • Compile, create, and maintain reports, databases, and charts using advanced software applications.
  • Respond to maintenance requests, troubleshoot and resolve problems, and investigate system issues.
  • Ensure seamless back-up support for manager(s) and associated teams.
  • Participate in admin support team meetings to understand department processes.
  • Identify opportunities to improve and streamline work quality and efficiency.
  • Partner with management to build a collaborative working environment, promoting leadership, good judgment, and professionalism.

Requirements

  • Educated to at least A level standard or equivalent.
  • Prior experience working in a fast-paced admin role in a corporate working environment.
  • Good mathematical ability.
  • Enthusiastic with strong customer service, communication, and interpersonal skills.
  • Willingly adapts to and is motivated by change.
  • Highly organized with the ability to prioritize workload, multitask, and work to tight deadlines.
  • Self-directed and able to perform assignments independently, demonstrating a proactive approach and flexibility with change.
  • Articulate, with good attention to detail and a high level of discretion.
  • Advanced knowledge and solid working experience of technical applications (e.g., MS Office including PowerPoint, Excel, Outlook, and Word).
  • Executive or senior level administrative/project management experience in a business environment.
  • Strong team player with the ability to make decisions on behalf of the team and take collective responsibility.
  • Ability to work and communicate effectively within a global/virtual team setting.
  • Solid correspondence drafting, editing, and proofreading skills.
  • Ability to multitask and prioritize workload to meet deadlines.
  • Undergraduate degree with relevant experience at a senior level (Preferred).
  • Familiarity with investment software applications (Preferred).
  • Financial Services sector experience (Preferred).
