About the Role

The Scheduling Coordinator provides scheduling support for physicians, advanced practice providers, and lab and diagnostic imaging appointments within the Heart Center. This role is crucial for managing patient flow, ensuring all necessary appointments and documentation are in place, and contributing to process improvements within the office.

Responsibilities

  • Schedule cardiac inpatient and outpatient cardiac diagnostic imaging and cardiac specific appointments.
  • Work closely with the prior authorization team to ensure authorizations are obtained prior to appointments.
  • Schedule all clinic patients, obtain all records, and confirm chart completion prior to clinic appointments.
  • Coordinate the retrieval of outside imaging and/or records needed for clinic patients.
  • Facilitate clinic flow by making phone calls, scheduling last-minute tests, and assisting providers.
  • Support the design and implementation of solutions for identified trends or problem areas.
  • Collaborate with other departments to streamline patient pre-procedure schedules and optimize the patient experience.
  • Ensure medical records are compliant with HIPPA, Federal/State regulations, and corporate compliance standards.
  • Complete booking sheets for necessary outpatient procedures and send to the cardiac catheterization lab.
  • Reconcile incoming correspondence and medical records with charts, scanning all documentation according to workflow and protocols.
  • Comply with all Nuvance Health, HVCP, and affiliate policies and applicable laws and regulations.
  • Maintain contemporary professional knowledge and education.
  • Demonstrate regular, reliable, and predictable attendance.
  • Perform other duties as required.

Requirements

  • High School degree or equivalent.
  • Minimum of two (2) years’ experience in a medical office administrative role.
  • Minimum of one (1) year experience with EMR Products/Solutions.

Skills

  • Knowledge of medical records/HIPPA requirements.
  • Knowledge of insurance carrier requirements.
  • Knowledge of EMR systems.
  • Knowledge of MS Excel, Word, Outlook, and other desktop software programs.
  • Strong communication skills.

Salary/Compensations

  • $18.13 - $34.50 Hourly
