About the Role

Support Management Surveyors in delivering high-quality property management services for Savills clients and occupiers. The Retail Park Regional Facilities Manager will build relationships with stakeholders and maintain parks to a high standard, ensuring a safe and pleasant customer environment. Key activities include risk management and contractor services, ensuring compliance with statutory requirements through inspections and audits.

Responsibilities

  • Ensure Operation Reporting System (“Compass”) and Datastation Health & Safety systems are up to date and complete.
  • Ensure compliance with all legal and statutory requirements, including Health and Safety.
  • Prepare each retail park for risk assessment maintaining a target compliance rating of 95%.
  • Ensure a full set of risk assessments is held for each retail park on Datastation and action plans are implemented.
  • Report to the Management Surveyor if a risk assessment is prevented from being implemented.
  • Ensure monthly checklists are completed and uploaded on to Datastation within the appropriate time scales.
  • Record utility consumption at all sites and update Optima/Compass accordingly.
  • Liaise with all occupiers regularly to build strong relationships, obtain trading updates, resolve service issues, and assist retailers in improving performance.
  • Conduct a minimum of fortnightly visits to retailers for all Tier 1 Parks and monthly visits for Tier 2 Parks.
  • Engage fully with all store managers for Tier 1 Parks to understand retailer requirements and introduce proactive initiatives.
  • Collate detailed trade information on all Tier 1 Parks during retail visits and issue monthly to Savills Research and the Management Surveyor.
  • Collect trade information for Tier 2 Parks through monthly retail visits and submit quarterly to Savills Research and the Management Surveyor.
  • Co-ordinate and facilitate regular occupier meetings and provide minutes to occupiers and the surveyor.
  • Keep retailers and customers updated on refurbishment or major work programmes.
  • Monitor tenant activity including trade performance, alterations, changes in occupational status, and advise the Management Surveyor.
  • Ensure high site standards in cleaning, repair, and presentation are achieved and maintained within property budgets.
  • Act as the first point of contact for Savills Helpdesk in emergency situations, attend property, report back, and coordinate third-party stakeholders.
  • Evaluate existing contractual relationships with the OST team and ensure contractor service meets agreed specifications, SLAs, and KPIs.
  • Address any shortcomings in service delivery swiftly.
  • Implement car park management strategies to maximize customer parking and monitor to address changes in trading patterns.
  • Oversee the planned and preventative maintenance program, developing an appropriate strategy for the park.
  • Set and implement an appropriate environmental strategy for each park, including waste and energy management.
  • Prepare and implement contingency plans for site attendance, including cover for holidays, training, and sickness.
  • Embed a customer-focused ethos into park operations and site staff.
  • Develop a close working relationship with occupier representatives and manage satisfaction and confidence in Savills service delivery.
  • Ensure tenants have relevant contact details for the Regional Facilities Manager and Management Surveyor.
  • Advise the Management Surveyor of any changes in tenants' occupational status.
  • Assist in preparing the annual service charge budget by completing a 1st draft with recommendations and financial requests.
  • Monitor SC expenditure and ensure invoices are approved in a timely manner via Proactis.
  • Produce and coordinate information in line with Savills and client requirements.
  • Keep the Management Surveyor fully informed of site issues at all times and assist with certifying expenditure invoices.
  • Carry out annual appraisals for all SMR site staff based on your sites within given time scales and ensure 6-monthly reviews are completed.
  • Take on new retail parks as requested and efficiently handover sold/lost parks to incoming agents.

Requirements

  • Demonstrate self-motivation with excellent interpersonal skills.
  • Possess excellent organizational and time management skills with flexibility.
  • Ability to handle a large number of projects with diverse customers, suppliers, and property owners.
  • Experience and knowledge of achieving high standards in property management on multi-let sites.
  • Knowledge and understanding in preparation of service charge budgets, ensuring agreed times and costs are adhered to.
  • Strong overall experience in a similar environment.
