About the Role
The Facilities Coordinator is responsible for coordinating day-to-day activities to support various programs within Facilities. This role involves allocating work requests, coordinating program requirements, contractor management, and contract administration for buildings and properties, utilizing departmental technology systems.
Responsibilities
- Coordinate with internal business units during Facilities projects or activities.
- Provide direction to contractors and service providers on material selection, inspection, schedules, and project execution.
- Collaborate with Environment, Health & Safety team on Risk Assessments and Pre-Job Meeting execution.
- Review and monitor day-to-day contractor performance and project completion.
- Create purchase requisitions, process invoices, and confirm timely vendor payments.
- Support contract administration, coordinating and reviewing with stakeholders during the design phase.
- Coordinate the Notice of Contractors (NOC) issuance process.
- Monitor contractor health and safety practices and validate compliance with rules and regulations.
- Prepare reports, update records, and document program/project information.
- Support procurement processes, including Request for Proposals and Bid processes.
- Support the execution of smaller and lower-risk projects, including scheduling, budget monitoring, and performance tracking.
- Monitor analytics for work order closure pace and quality.
- Conduct field visits to gather information for project completion status and health and safety investigations.
- Investigate and follow-up on submitted work requests for timely resolution.
- Utilize departmental technology systems for reporting and analytics on work order submissions.
Requirements
- Post-Secondary Degree/Diploma in a business or technical discipline.
- One to three years of Project Management, Contractor Management, and/or Project Coordination experience.
- Valid G class driver’s licence or willingness to obtain.
- Experience using SAP (or any ERP software) and advanced MS Office skills.
- Ability to suggest changes or support new/modified processes for improved productivity.
- Ability to accept work assignments with clear understanding of quality, quantity, cost, and performance targets.
- Ability to perform work managing own health and safety and the safety of others.
- Ability to act as a safety leader by incorporating sustainable safety and environmental considerations.
- Excellent project management, time management, and organizational skills.
- Strong interpersonal skills and ability to communicate with many levels of the organization.
