About the Role

Provide day-to-day administrative support to your team, including coordinating calendars, meetings, expenses, events, presentations, travel, correspondence, and departmental initiatives.

Responsibilities

  • Proactively coordinate multiple calendars, including scheduling internal and external meetings, room bookings, and calls.
  • Coordinate logistics with global CPP Investments departments/offices.
  • Ensure team members are prepared for meetings and follow up on action items.
  • Perform expense reporting and coordinate approval and processing of invoices.
  • Assist in the creation of high-quality, on-brand communications, reports, and presentations.
  • Provide support for departmental and team off-sites and social events.
  • Coordinate and book travel arrangements, including flights, hotels, and visa requirements.
  • Handle highly confidential material and matters with utmost discretion.
  • Coordinate and perform critical internal processes for the team.
  • Collaborate with other Executive Assistants and teams to increase efficiency and provide departmental support.

Requirements

  • High school diploma required; college diploma or bachelor's degree preferred.
  • 2+ years of administrative support experience in a fast-paced, professional environment.
  • Prior experience in the financial services or related industry is an asset.
  • Strong communication skills, both written and verbal in English.
  • Experience with complex calendar coordination, booking high-profile meetings and events, scheduling travel, and performing the expense reimbursement process.
  • Working knowledge of MS Office (Word, Excel, PowerPoint, Outlook, Calendar).
  • Comfort and interest in learning new applications.
  • Motivated to contribute to something larger than yourself.
  • Approach complex challenges with rigor.
  • Hold yourself to high standards in a collaborative, performance-driven environment.
