About the Role

Convene Hospitality Group (CHG) is seeking an Event Production Manager to transform complex plans into seamless reality for their growing business. This role is ideal for an experienced Event Coordinator or Manager passionate about hospitality and creating exceptional experiences.

Responsibilities

  • Act as the primary point of contact for clients during the planning process.
  • Liaise with on-site event, technology, and control room teams to ensure seamless event experiences.
  • Ensure client visions are executed and clients are fully supported from kick-off to post-event.
  • Act as project manager and ensure completion of on-site responsibilities by the Event Operations Team.
  • Support hybrid, virtual, and physical meetings products.
  • Live Convene’s values and exhibit hospitality standards.
  • Plan and oversee meetings programs across physical, hybrid, and virtual products.
  • Communicate effectively verbally and in writing with all levels of associates, clients, and departments.
  • Listen to, understand, and clarify concerns raised by associates and clients.
  • Serve as pre-sales support for the Sales team, advising on deadlines and requirements.
  • Work closely with the Sales Department to prepare room diagrams, photos, and facility insights.
  • Assist relationship managers in guiding clients through the contract phase.
  • Develop event timelines and communicate pre-production deadlines.
  • Schedule and host kick-off calls with clients.
  • Serve as the primary client contact leading up to the event.
  • Prepare and distribute all room diagrams.
  • Work closely with the culinary and service team to finalize menus and timing.
  • Partner with AV Production to plan the client’s run of show and vision for physical and hybrid Studio Events.
  • Host client Run of Show Review with AV Production team and Event Operations Manager.
  • Partner closely with and oversee the execution of tasks by the Event Operations Team.
  • Assign and manage event tasks in project management tools, following up to ensure timely completion.
  • Create and maintain detailed event documentation for each booking.
  • Create PEOs (Program Execution Orders), program diagrams, and invoices.
  • Support the Event Site Production team with collection of livestream event platform details.
  • Manage client expectations on available features and inform future platform enhancements.
  • Conduct pre-event and post-event debriefs for internal stakeholders.
  • Follow up with the client on any post-event deliverables.
  • Conduct weekly event meetings and regular PEO meetings.
  • Provide status updates to internal and external stakeholders on pre-production milestones.
  • Supervise the proper calculation of all program checks and ensure client approval and signatures.
  • Ensure the collection of all program balances.

Requirements

  • Candidates must currently reside in the UK.
  • Candidates must be able to work in the UK without sponsorship.
  • 2+ years in a customer-facing role.
  • Prior experience in event planning and project management.
  • Comfort using web-based collaboration tools, including, but not limited to, Slack, Salesforce, SmartSheets, Google Suite.
  • Strong business acumen.
  • Ability to stay calm under pressure.
  • Natural problem solver, obsessed with finding appropriate solutions to meet customer needs.
  • Able to multitask.
