About the Role
The Director of Operations and Security ensures the overall operational, safety, and maintenance of the facility. This role involves cross-training Operations staff to understand job functions within their designated units and cooperating with various directors to meet goals and ensure facility compliance.
Responsibilities
- Oversee all daily operations at the facility.
- Supervise all Operations staff and collaborate with external vendors.
- Cooperate with the Site Director to ensure goals are met according to contractual obligations.
- Cooperate with senior management for programmatic reports and/or proposals.
- Coordinate inventory procurement, control, and expenditures procedures.
- Ensure compliance with OSHA, DHS, OTDA regulations, and relevant building codes.
- Identify and assign adequate resources to programs/projects.
- Provide 24/7 crisis intervention regarding operations-related systems.
- Develop and implement Operations goals, objectives, and procedures.
- Design preventative and scheduled Operations activities.
- Manage the collection, presentation, and reporting of Operations data.
- Maintain, revise, and update Operations logs, records, and forms.
- Manage facility inventory and material needs, overseeing the purchasing process.
- Oversee internal and external Operations-related systems tests and inspections.
- Perform monthly walk-throughs to inspect operations and building systems.
- Ensure proper management of internal work order and ticketing systems.
- Ensure regulatory compliance and validity of required licenses and certificates.
- Secure necessary licenses for legal and safe facility operation.
- Interview, supervise, monitor, and evaluate Operations managers and supervisors.
- Establish and implement schedules and work assignments for Operations managers and supervisors.
- Train and coach Operations managers and supervisors.
- Supervise other Operations staff members as needed.
- Maintain awareness of new trends in safety, residential management, maintenance, food service, and housekeeping.
- Conduct, attend, and participate in facility and professional group meetings.
- Maintain ongoing communication with Social Services concerning operational issues.
- Solve problems in the facilities diplomatically.
- Produce weekly, monthly, quarterly, and annual progress reports.
- Address residents and staff members to explain available services and operations.
- Attend staff meetings and serve on committees as required.
- Attend professional meetings, educational conferences, and in-service trainings.
- Attend meetings and hearings of government agencies.
- Develop departmental safety goals, objectives, policies, and procedures.
- Manage the collection, presentation, and reporting of data regarding safety and/or infractions.
- Oversee proper reporting and recordkeeping of safety incidents, infractions, etc.
- Coordinate safety plans with senior management.
- Attend to visitors, residents, and the community.
- Make calls to emergency services in cases of emergency.
- Coordinate schedule of Operations personnel for appropriate coverage.
- Provide and assist with Operations coverage for overall safety & security.
- Respond to staff requests for operational assistance.
- Provide coverage for other areas as directed/needed.
Requirements
- At least four (4) years of facilities management experience, preferably in a residential facility.
- F-80 Certificate of Fitness for Coordinator of Fire Safety and Alarm Systems in Homeless Shelters.
- Food Handlers Certification (required before expiration of probation).
- CPR/First Aid Certification (required before expiration of probation).
- Valid U.S. Driver’s License.
- Knowledge of operating related equipment, tools, and materials used in the facility.
- Knowledge of city, state, and federal building codes and industry standards.
- Proficiency in software applications, including word processing, spreadsheets, and databases.
- Proven ability to work collaboratively with diverse groups.
- Proven ability to handle multiple tasks effectively under pressure.
- Strong organizational skills, detail-oriented, and efficient.
- Maturity, integrity, and sound judgment.
- Must be able to read, speak, write, and understand English for administrative purposes.
- Must pass drug screening to be appointed.
- This position may be subject to a series of investigations before and after appointment.
