About the Role

EVENTS BY PACE is the in-house event agency of Axel Springer SE, staging over 600 events annually to effectively and sustainably showcase diverse and increasingly digital media brands. This includes conceptualization, invitation and guest management, and experienced, goal-oriented organization for successful implementation, both nationally and internationally, across various formats like awards, galas, workshops, parties, conferences, trade fair appearances, or promotions, whether live or digital.

Responsibilities

  • Maintain, create, segment, and ensure the quality of guest and invitation lists, including VIPs, sponsors, and stakeholders, according to specifications and in coordination with project management.
  • Assist in the implementation of invitation and communication sequences, such as save-the-dates, invitations, and reminders.
  • Support the RSVP and registration process.
  • Participate in accreditation, badge and ticket logic, and check-in processes.
  • Create and maintain guest list statuses, reports, and simple analyses.
  • Coordinate within defined task areas with internal teams and external service providers, such as hostesses, printing, and shipping.
  • Ensure high data quality and GDPR-compliant processing.
  • Assist with quote comparisons, invoice verification, and budget-related documentation as specified.
  • Support on-site guest support and accreditation processes.

Requirements

  • Completed vocational training, a completed degree, or initial professional experience in event management, communication, hospitality, media, marketing, or a comparable field.
  • Ideally, possess initial practical experience in event or participant management.
  • Willingness to take responsibility for assigned tasks and follow through reliably.
  • Proficient in MS Office, especially Excel, and digital tools, with a readiness to learn guest management and registration systems like Cvent.
  • Basic understanding of data quality, data protection, and responsible handling of personal data.
  • Structured, meticulous, and reliable work approach with an eye for detail.
  • Service-oriented and dependable communication with guests, teams, and service providers.
  • Enjoy teamwork, be eager to learn, and demonstrate initiative.
  • Possess organizational skills and maintain an overview even during dynamic project phases.
