Responsibilities

  • Completes data entry of new charges on court case management system.
  • Corresponds with stakeholders, including enforcement officers and interpreters.
  • Completes activities related to active court record management, such as filing and records retrieval.
  • Operates office equipment and computers using various software packages with speed and skill.
  • Prepares presentation materials, forms, and other documents.
  • Researches and prepares presentation materials for meetings.
  • Utilizes layout, formatting, and keyboarding skills on a computer.
  • Maintains filing and retrieval systems for records and court documents according to divisional procedures.
  • Receives court documents and applications from the public, enforcement agencies, and the Judiciary, ensuring accuracy and completeness.
  • Coordinates scheduling of meeting rooms and bookings with special requirements.
  • Attends meetings, takes notes, and transcribes minutes.
  • Handles internal and external mail correspondence.
  • Monitors and maintains supplies for the unit or other locations.

Requirements

  • Considerable experience performing a variety of clerical duties, including typing correspondence and ensuring a high level of accuracy in data entry.
  • Considerable experience maintaining and managing filing systems for both hard copy and electronic records, handling large volumes of information efficiently and accurately.
  • Experience using Microsoft Office applications such as Word, Excel, Access, Outlook, and PowerPoint, including formatting documents, managing spreadsheets, and performing mail merge functions.
  • Experience working in a customer service environment, effectively communicating and interacting with all levels of staff, stakeholders, and the general public in person, by telephone, and in writing.
  • Ability to utilize layout and formatting procedures for text, charts, graphs, and statistical data.
  • Excellent organizational skills with the ability to multitask in a high-pressure, high-volume environment with minimal supervision.
  • Familiarity with legal and technical terms and court procedures and requirements, e.g., knowledge of the Statutory Powers Procedure Act, City of Toronto By-Laws, Provincial Offences Act, Courts of Justice Act, Administration of Justice Act, and related regulations.
  • Ability to keyboard at an efficient rate with a high degree of accuracy.
  • Excellent interpersonal and communication skills with the ability to meet and interact with the Judiciary, members of the Law Profession, staff, enforcement agencies, and the general public in an efficient, discreet, and professional manner.
  • Ability to lift boxes up to 20 kg.
  • Ability to support the Toronto Public Service values to ensure a culture that champions equity, diversity, and respectful workplaces.
