About the Role
The Legal Coordinator will provide administrative and project services supporting the intellectual property portfolio of the beer, wine, and spirits divisions. This role assists in managing the company’s intellectual property portfolio, including monitoring and protecting trademarks, copyrights, and patents, searching and approving new trademarks and trade dress, and providing guidance on intellectual property issues. The ideal candidate is tech-savvy, creative, agile, and self-motivated with a positive attitude, capable of learning new tasks and contributing to team success. Experience in a fast-paced environment and balancing the needs of expanding business teams is essential.
Responsibilities
- Collaborate with Legal Specialist – IP and Manager, IP to support the management of the company’s global trademark, copyright, and patent portfolio, including clearance, filing, maintenance, and enforcement.
- Perform day-to-day intellectual property administration tasks, including internet research for trademark, copyright, and patent matters.
- Provide litigation support for intellectual property matters, including document collection and production, and coordinating with outside counsel and internal clients.
- Assist with intellectual property related contracts (license agreements, letters of authorization, amendments, etc.), including reviewing, editing, generating redline comparisons, formatting, routing, coordinating signatures via Adobe Sign, drafting correspondence, and tracking status.
- Provide business clients with applicable contract templates.
- Perform occasional contract management tasks, including intake of new contract requests, and creating, maintaining, and updating information in the Legal Department’s matter management system and other databases.
- Monitor and assign marketing procurement contract requests submitted through Sirion.
- Review and process Legal Samples Requests, including approvals, declines, and escalations.
- Conduct initial reviews of NDAs and coordinate with attorneys for finalization.
- Track information in various databases and generate reports as needed.
- Collect data and update relevant information in the matter management system.
- Generate reports to support day-to-day intellectual property-related activity.
- Develop, monitor, and report on metrics to track intellectual property matters and analyze team performance against metrics.
- Assist with developing, maintaining, and updating standard contract templates and related playbooks.
- Act as an information source on Adobe Sign and Legal Department/intellectual property policies and procedures, advising business clients on processes, approvals, and signature authority.
- Prepare reference materials, training guides/manuals, and presentations.
- Prepare and process letters, team mail, and courier correspondence.
- Coordinate, route, track, and follow-up on the execution, notarization, and legalization of documents such as affidavits, declarations, assignments, and powers of attorney.
- Engage with senior level executive and administrative support in facilitating signatures, review, and execution of documents.
- Work on other Legal Department projects, initiatives, and special projects as directed.
- Handle and process new vendor set ups, PO’s, and invoices from vendors and outside counsel for the Intellectual Property Team.
- Sort and distribute mail and prepare overnight courier packages.
- Order supplies for the Intellectual Property Team and track expenses.
- Schedule team meetings and conference calls.
Requirements
- 3+ years of advanced administrative/office support experience (legal environment strongly preferred).
- Four-year college degree required.
- Extensive Microsoft Office applications (Word, Excel, PowerPoint) and Adobe Acrobat experience and skills, including advanced knowledge of settings, document editing, shortcuts, and Excel formulas.
- SharePoint, OneDrive, workflow tool, and document management software experience strongly preferred.
- Must be able to sit and/or stand for long periods of time and work on a computer for extended periods.
