About the Role

This position supports legal office functions, requiring independent judgment within policy guidelines and an understanding of legal terminology and procedures. Incumbents prepare and process legal documents, interact with the public, handle departmental mail, and perform routine clerical support. The role is distinct from administrative support due to its focus on technical legal clerical support in a legal office environment.

Responsibilities

  • Perform counter and/or phone work providing information to the public requiring limited interpretation of policies and procedures.
  • Provide attorneys, judicial officers, and interested parties with case status and legal procedure information while maintaining security and confidentiality.
  • Perform reception work, entering and retrieving information using computer-based data systems.
  • Answer routine questions requiring a basic understanding of departmental functions.
  • Prepare reports requiring the extraction of database information.
  • Create and maintain files by extracting information from local and state databases.
  • Enter new client/defendant information into computer databases.
  • Order client/defendant records and documentation.
  • Extract information from files.
  • Prepare standard legal forms and manage file closing, storage, and/or destruction.
  • Utilize word processing, spreadsheet, and presentation applications to generate routine and moderately complex legal documents.
  • Secure appropriate signatures, case numbers, and authorizations for legal documents.
  • Mail or route legal documents as designated.
  • Prepare responses to legal correspondence from dictation or oral instruction.
  • Respond to questions regarding case status in accordance with public records and confidentiality regulations.
  • Monitor the custody status of defendants daily.
  • Determine eligibility for first appearance.
  • Respond to discovery requests from opposing counsel within statutory time limits.
  • Provide appropriate documentation per statute and court rules.
  • Contact other attorneys and parties to obtain or relay technical case information.
  • Interact with other county and outside agencies.
  • Schedule meetings and appointments, arrange meals, travel, and accommodations.
  • Collect information from defendants in accordance with departmental policy and procedures.
  • Assist in caseload management and monitoring of case plans.
  • Review reports for timeliness, accuracy, and validity to ensure compliance.
  • Open, date stamp, sort, and distribute incoming mail.
  • Process outgoing mail.
  • Photocopy various legal documents and ensure proper distribution.
  • Receive, label, log, file, and retrieve data.
  • Check information for accuracy and make necessary corrections.
  • Order and maintain supplies of legal forms and office materials.
  • Assist other staff in cashiering duties for routine financial transactions.
  • Provide dockets or calendars for review.
  • Support in a courtroom setting.
  • Check in defendants coming from court or those needing referrals.
  • Determine if defendants are eligible for specific classes (e.g., Alive @ 25, Attitudinal Dynamics of Driving).
  • Assist defendants with class enrollment and assign class dates.
  • Create certificates for classes and dismissal orders when instructors are unavailable.
  • Scan registration forms and certificates into the Court Imaging system.
  • Set appointments for defendants to meet with Probation Officers for specialized courts.
  • Update program pamphlets.
  • Provide information to clients regarding eligibility for the relicensing program.
  • Perform intake for clients, explain program details, and direct them on required actions.
  • Process monthly payment reminder letters to clients.
  • Review, prioritize, and input law enforcement referrals.
  • Copy, fax, scan, email, and/or distribute case files for various units.
  • Prioritize file distribution to ensure timely receipt of sensitive documents by other departments/agencies.
  • Respond to discovery requests by inputting opposing counsel information and providing documentation.
  • Communicate consistently with attorneys, supervisors, law enforcement, and other stakeholders with procedural knowledge and courtesy.
  • Receive scheduled and non-scheduled visitors using a logbook and maintaining security.
  • Deal appropriately with sensitive situations, resolve conflict, and problem-solve using confidentiality, discretion, patience, empathy, and professionalism.

Requirements

  • High School Diploma or GED equivalent.
  • One (1) year of work experience including working with the public, customer service, and performing basic administrative tasks.
  • Work in a law office or legal environment preferred.
  • An equivalent amount of related coursework/education may be substituted for the required work experience.

Skills

  • Knowledge of legal terminology, legal and regulatory requirements, procedures, and standard document content.
  • Knowledge of general legal office practices and procedures.
  • Knowledge of business English, grammar, punctuation, and spelling.
  • Proficiency in word processing, database, and presentation applications, including macros.
  • Knowledge of general office equipment operation (copiers, faxes, telephones, personal computers).
  • Effective oral and written communication skills.
  • Ability to establish and maintain effective working relationships.
  • Accurate keyboarding at a minimum of 50 words per minute.
  • Ability to deal appropriately with sensitive and/or potentially volatile situations.
  • Ability to resolve conflict and problem-solve using confidentiality, discretion, patience, empathy, and professionalism.
  • Ability to understand and apply legal guidelines and regulations.
  • Ability to prepare legal documents and correspondence with appropriate formatting and terminology.
  • Ability to maintain confidentiality.
  • Ability to complete work accurately within established timeframes.
  • Ability to adhere to prescribed office routines, policies, procedures, and directions.
  • Ability to maintain a professional personal appearance and courteous attitude.
